What is a Letter of Application?

A letter of application is yet another name for a cover letter or job application letter. You submit it with your resume to apply for jobs. It’s a one-page letter intended to explain why you’re a perfect fit for the advertised position. 

This is what a letter of application should include:

  • Header with your name and contact details
  • Hiring manager’s address
  • Opening paragraph introducing yourself and your application
  • Two body paragraphs explaining why you’re a great candidate and your motivation behind the application
  • Closing paragraph with a call to action directed at the employer
  • Your signature and attachments list

Now, here’s how you write an application letter:

Start from the beginning, which in this case is to—

1. Create an ATS-Friendly Job Application Letter Template

You need something to write on. But instead of grabbing paper, open a text editor and adjust the format of the letter page.

  • Create enough spacing: 1–1.15 between lines, 1-inch margins, double space between paragraphs
  • Choose the font: Garamond, Helvetica, or Arial in 11–12 points in a font size
  • Align the content to the left
  • Pick the file format: PDF, unless the recruiter requested a Word file specifically
  • Name the file: JobTitle_YourName_ApplicationLetter.pdf, which in a real example would look like this, AdministrativeAssistant_OliviaRibush_ApplicationLetter.pdf

2. Open Your Application Letter Right

Do you know why patterns appeal to so many people?

They’re consistent. Seamless.

To achieve a similar effect with your letter, mirror the design of your resume in the header section. That way, you’ll make your application more memorable and cohesive. (And simultaneously, you won’t risk making a mistake in your contact information.)

Later, a challenge awaits. Or not? It depends.

You’re about to address your hiring manager , and if they gave their name in the job ad, you’re lucky. But if they have not, then the hunt is on.

Look for it on the company’s LinkedIn page or website. You can even call the place and ask, yet get prepared to talk directly with that particular person.

It’s important because you don’t want to address the letter to whom it may concern . It’s heartless (and almost inhumane, as you’re not addressing a person).

To avoid that, in case you’ve searched through hills and valleys and found nada, write “ Dear Hiring Manager ” instead. But remember, it’s your last resort.

And now—

The opening.

There are several strategies you can use to start your letter. Among them are:

  • Boasting about your most significant yet relevant achievement
  • Expressing enthusiasm towards joining
  • Commenting on the recent company’s development.

There can be thousands of reasons why you’re applying for a job, so first and foremost, stay true to yourself and don’t look for inspiration elsewhere. If you’re having a hard time coming up with something, the above have proved successful many times.

Yikes! 

The second one just won’t do. It’s the opposite of success. 

Your opening paragraph needs to compel the reader, make them eager to carry on with your letter, not move it aside to the boring pile.

It’s important you remember there’s no “I” in “employers must be charmed by your paragraphs,” so drawing attention from the employer and their needs only asks for ignorance. Build your sentences without much use of the “I” pronoun, and you should end up just fine.

Now, I won’t let you think that the same rules apply to inexperienced candidates writing their application letters.

Employers look for your motivation to grow and learn instead of accomplishments. However, they’re indeed helpful in convincing them of your fit. 

Why don’t you see for yourself that an inexperienced candidate with a proper attitude can create the same strong argument:

ProTip: Make sure you don’t use your high school email address ([email protected]) even if you had to create a new one only for this job application.

3. Show Off in the Middle

Now’s the time for the main dish. 

It’s two-course.

In the first paragraph of the middle section, you should convince the reader that you’re perfectly qualified for the job. To do that, you can use your accomplishments and real-life examples of your skillset . 

In the second paragraph, speak of your motivation and reasons for joining. You want to get your message across very clearly so that the employer believes you’re a good fit for each other.

  • Stick to the requirements listed in the job description. You want to target keywords mentioned explicitly to pass the screening process and the recruiter’s scrutiny later.
  • Write three to four bullet points, starting with a power word followed by an accomplishment statement .
  • Quantify your accomplishments to draw attention to the most important information. Numbers pop and evidence you had actual results at previous jobs.
  • Speak to the company’s mission or vision to build a connection.
  • Never, and I mean never, copy your resume into your letter of application. It’s better to elaborate on one or two of the accomplishments instead of copying and pasting the dry facts.

4. Close Your Letter of Application With a CTA

The worst’s behind you.

Now it’s time to thank for consideration, time, and other clichés.

Exactly—clichés.

They’re not effective in job applications. Not really, no. So get rid of any voices in your head telling you to write “Thank you for considering my application” or “ Looking forward to hearing from you .”

Make a move and ask the recruiter directly whether they’ll invite you for an interview.

To sign the letter, you can use “Best Regards” variations, such as “Kind Regards,” “With Kind Regards,” or “With Best Regards,” followed by your full name.

The postscript is totally optional. Still, you can use it to seal the deal by pitching a finisher-level accomplishment.

Structure of a Cover Letter Address Section

1. cover letter heading (sender’s information).

At the very top of your cover letter, in what’s called the cover letter header, you’ll place your contact details. 

As we showed you above, it’s quite simple:

If you want, you can include your phone number or email address, as well.

Cover letters follow a business letter or formal letter format, but, you don’t have to necessarily stick to the styling of the example above. If you have a stylized heading with your name and contact details from your resume contact information section, feel free to use the same heading here!

However, for the remainder of the cover letter, stick as close to the business letter format as possible.

2. The Date

The entirety of addressing a cover letter is quite simple, and that’s true for the date as well.

Here’s how to add a date on a cover letter:

January 31, 2022

Just remember to leave a line break space both above and below the date to keep things looking neat and organized.

3. Inside Address (Recipient’s Information)

After the date, it’s time to add the recipient’s information, also known in formal letter writing as the “inside address.”

As we showed you above, here’s how to write the company’s info:

We start with the name of the person you are addressing the cover letter to, usually the HR manager or hiring supervisor, followed by their official title at the company. Do your best to find someone’s name so it is tailored by researching the company and its LinkedIn profile.

If you still can’t find someone’s name, simply put “Hiring Manager” or “ATTN: Hiring Manager” above the company name and address.

4. Salutation

The last part of the cover letter address section before reaching the body is the salutation. 

And here’s how simple that is:

Dear Jessica:

Easy as that! 

You can tweak that a bit, if you prefer not to use “dear,” for example. You could also choose to use their last name (“Dear Ms. Schwartz”) or their full name. However, in most cases, I think the first name is most powerful (and we’re in the 2020s now, as well).

Finally, use a colon after the name and you’re through!

When you're applying for a job or contacting an employer speculatively, the format of your cover letter will vary depending on whether you have a named contact and the reason for your letter. It's important that you address a cover letter properly as it's the first thing the reader will see, so you should strive to make a good first impression with it.

In this article, you'll learn what a cover letter is and why it's important along with tips on how to address different recipients for various types of cover letters.

What is a cover letter and why is it important?

A cover letter is a document sent in conjunction with your resume or application for a job opening. A great cover letter expresses your reason for applying and pulls together all the main evidence supporting why you're the best person for the job, as outlined in your resume, application, and any other supporting documents.

Each cover letter you write is highly tailored to the position you’re applying for and the hiring company. It should address essential criteria and elaborate on important points in your resume. Consider your cover letter to be your sales pitch. A great cover letter will be an invitation for a recruiter to read your resume or application.

Who do you address a cover letter to?

Your cover letter should be addressed to the person responsible for recruitment. If you don’t know the name of the person, there are ways to find out. Getting this can be the difference between your letter being read or lost in the pile, so follow the guidelines below to make sure you address your cover letter most effectively.

Addressing a cover letter with a name

If you have a name for your recipient, this is the best start. It means the letter will likely be delivered to the appropriate person, rather than get lost or sent to someone without the decision-making power you require.

A cover letter is a formal document, and so it should be addressed as such. The most professional way to do this is with “Dear.” For example:

Dear Mr. Miller,

Dear Ms. Jones,

Dear Dr. Lopez,

If you don’t know the person’s gender or preferred pronouns, you can use their first name. For example: “Dear James Miller.” Follow the salutation with a comma. 

What about "Mrs."?

Traditionally, "Mrs." was used to address married women who took their partner's surname after they tied the knot. Today, though, it's less common in professional settings and likely best to avoid, unless your recipient has explicitly used it to refer to themselves in their correspondence with you.

For female identifying recruiters, u se "Ms." instead of "Mrs." in most cases. This will help ensure that you don't inadvertently offend your recipient, who may be unmarried or who is married but didn't adopt their partner's last name.

Addressing a cover letter to a recipient with a professional title

If the recipient of your cover letter has a professional title, always include it. Someone with a PhD will be "Dr." rather than "Mr./Ms." This also makes things easier if you are unsure of which personal pronoun to use.

Addressing a cover letter without a named recipient

When you're uncertain what the name of your recipient is, it’s definitely worth taking the time to find it. This is covered in more detail in our "First steps in determining a recipient" section below.

But, if you absolutely can’t find a name, address your cover letter to the appropriate department within the company or organization. For example: “Dear [Department] Hiring Team.” If you know the job title of the person you need to send your letter to and it’s just their actual name that eludes you, address their position instead. For instance: “Dear Head of [Department]” or “Dear Director of [Department].”

Addressing a speculative cover letter

When writing a speculative cover letter—one that isn't in response to a job posting—the principles are much like the above. You may or may not know the name of the person you're trying to reach. If you do, so much the better. Include the name.

The difference with a speculative letter is that you may have been given the name of the appropriate recipient by a mutual connection. If this is the case, mention that connection in your introduction. For example:

Dear Mr. Morris, 

I was given your details by my former employer, Jenny Lee, of Brandenburg and Associates following news of the development of your new customer service department.

Addressing a cover letter sent by email

Addressing a cover letter to send via email is slightly different from a printed letter. A printed letter would include the address of the recipient and the date, which is not necessary in an email, as the letter will simply be the body of the email.

However, your email still needs to be as professional as a traditional cover letter. Use a formal way of addressing the letter, just as you would in a printed cover letter. 

The subject line is all-important with an email cover letter in order to be noticed amid the hundreds of emails a recruiter might receive. Include your name, the job title you’re applying for or reason for contact, and what is included in the documents you're sending. An example of an appropriate email subject line might be:

Helen Williams – Marketing Manager Position – resume and cover letter

If you have a recipient’s name but you're sending your email to an ‘info’ address, you can include ‘ FAO ’ (For the attention of) in your title:

FAO Mark Booth – Helen Williams – Marketing Manager Position

How to find the right recipient

If you don’t have a recipient for your cover letter, you'll need to do some research. It might even be the case that you have a name, but not an email address. Here are some tips for hunting down elusive contacts and their addresses.

1. Research websites

Check out the company website and social media sites. Use Google to piece together what you know and find details on lesser-known websites, such as About pages. For example, if you know the desired department to contact, you can search for, “Head of Marketing for [Department]” and see what it brings up.

If you have a name but no contact address, you can search your contact: “Mr Jones, Head of Marketing at [Company].” You may be lucky enough to find a social media page this way, if not a contact email address.

2. Call the company

The good old-fashioned telephone is an excellent way to find out a contact for your cover letter. Call the company, explain why you are calling, and ask them to whom you should send your cover letter and resume.

3. Check LinkedIn

LinkedIn is a great tool for finding people thanks to its built-in and highly effective search function. You can search by the person's name if you have one, and for more advanced searches, you can even add in the company and location. If you find the person you’re looking for, you will see a ‘Contact info’ link on their profile under their name, so you can attempt to message them and ask. 

If you don’t have a name, you can search the company and see who is listed as an employee. If the person you want isn’t listed, you may be able to contact someone in a related department, such as HR, and ask for assistance. You may even be able to get an introduction from a mutual connection.

Formatting your cover letter

The format of your letter is as important as who you send it to. When you’ve put in the effort of tracking down the most appropriate recipient, you’re going to want the rest of the letter to stand out, too.

Address and date

Your letter should be professionally formatted with your name, address, phone number, and email address in the top left. On the next line down, add the date, followed by the name and address of the recipient. As with any document, you begin writing the cover letter with ‘Dear [Name]’ on the left of the page.

If you are sending your letter digitally, which is far more common these days, your letter should be in the body of the text and you need to include the date, your city/state, phone number and email address at the top, but not the recipient's name and address.

However, most hiring managers still want to see cover letters from job applicants. Even if they didn’t, it would be a shame to miss out on the opportunity to sing your praises to decision-makers. Write a thoughtful, professional cover letter, and you’ll stand out from the competition before you’ve even spoken with the hiring team.

If it’s been a while since you’ve written a cover letter—or any formal business correspondence—you might feel a little intimidated. Even the  formatting requirements  can feel confusing when you’re rusty.

The good news is that there’s a clear formula for organizing your cover letter. These cover letter spacing guidelines will help you compose a message that makes the best possible impression.

The format of a letter refers to the way the letter is arranged on the page. The format includes spacing, indentation, margins, and more.

When you're writing a cover letter, the spacing is important regardless of what form your letter is in. An email cover letter needs to be as properly formatted as a typed cover letter.

Read below for cover letter spacing and general formatting guidelines for both typed and email cover letters. Two sample cover letters, one for a typed letter and one for an email letter, are included.

  • Format an email cover letter just like a traditional business letter, with spaces in between each paragraph and your signature.
  • Align your cover letter to the left.
  • Single-space the paragraphs in your cover letter or email message.
  • When you're sending a typed letter, include a handwritten signature and a typed signature underneath it.
  • When you're sending an email message, follow your signature with your contact information. If you have a formatted email signature, use this to close your message.

Your cover letter should be one page or less. Use a 10- or 12-point font that is easy to read, such as Times New Roman, Calibri, or Arial.

How to Use Letter Samples and Templates

Cover letter examples and templates  can help you visualize the layout of your letter. They also show you what elements you need to include, such as introductions and body paragraphs.

Along with helping with your layout, letter samples and templates can help you see what kind of content you should include in your document, such as a brief explanation of a layoff.

However, a job application letter can also be more detailed than a cover a letter. Usually a cover letter acts a quick introduction to a resume when a candidate applies for a specific job opening.

Meanwhile, you can submit a job application letter to a company even if there are no job openings. In this case, you would provide more detail about yourself and your qualifications. Due to this, job application letters tend to be a little longer than the average cover letter.

Now that we’ve gone through the basic formatting for a job application letter and a few examples of what one might look like, how can we condense all that information into digestible pieces?

Refer to these lists of “dos” and “don’ts” to help you through your drafting process:

Explain what you can bring to the company. Consider: how is your experience relevant to what the hiring manager is looking for?

Discuss your skills. Pick out a few skills listed in your resume and describe how you have utilized them in the workplace.

Give specific examples to support your experience. Is there a major project you worked on at your last job ? Did you accomplish something significant in your previous position? Including examples of these things in your letter will add new, specific content to your application and make you more interesting.

Edit your letter thoroughly. Read your letter a couple times, pass it off to someone to look over, run it through an online grammar check. Make sure it’s free of any errors.

Don’t focus on what the job can do for you. While it might seem nice to write that a job is your dream job or that you’ve always wanted to work with a company, it can read as vague flattery. Remember, this letter is about your qualifications.

Don’t list your current or previous job description. Your education and work experience certainly have value, but don’t just list your degrees and places you’ve worked at. Explained what you learned from those experiences and how they’ve made you a strong employee.

Don’t paste directly from your resume. A job application letter is meant to add to your value as a candidate, not just reiterate the same information repeatedly. Use your resume as a guide , but expand on especially relevant details.

Don’t submit an unedited letter. Before an employer ever meets you, they see your application and your job application letter. You don’t want grammar errors and misspelled words to make a bad first impression, so make sure to edit your draft multiple times.

Armed with these tips, guidelines, and examples, you’ll be able to draft your job application letter more confidently and send them off to potential employers knowing that you’re one step closer to employment.

Business Letter Formats Everyone Should Know

Most business letters must include a return address (letterhead or your name and address), date, an inside address (receiver’s name and address), a salutation, body paragraphs, and a closing. However, there are several ways to format this information. For example, return addresses can be centered or begin at the left margin or begin at the horizontal center of the page.

There are four basic business letter formats.

Format for Writing Professional Letters

There are several formats for writing professional letters. There are two basic styles of letters: block form and indented form . The samples below will help you determine which style you prefer.

When writing a letter using block form , no lines are indented. Include your name, address, and phone number where you can be contacted, as well as the date. You then include the name and address of the person you are sending the letter to.

With new paragraphs, just skip a line instead of indenting.

Add your phone number where you can be contacted in the last paragraph. If the receiver needs to use a relay service to call you, briefly explain that you are deaf/ hard of hearing and that s/he can call you through relay. Give the receiver his/her state relay number and explain that s/he will need to give the operator your number. Then give him/her your number.

Your Signature

Indented Paragraphs Form

When writing a letter using indented form , indent each paragraph. First include your name, address, phone number, and the date. This information should be located at the top of the page, either in the center, or indented on the right side of the paper. You then include the name and address of the person to whom you are sending the letter.

At the end of the letter, place your signature on the right side of the page. Don’t forget to provide any relay information if necessary.

Blocked Paragraphs Form

When writing a letter using blocked form , indent each paragraph. First include your name, address, phone number, and the date. This information should be located at the top of the page, either in the center, or indented on the right side of the paper. You then include the name and address of the person to whom you are sending the letter.

Simplified Style Form

SUBJECT LINE (use capital letters)

When writing a letter using simplified style form , put the date on the left. Then, put the receiver’s name, and his/her title, company name, and address.

Write a subject line instead of a salutation. The subject line must be in all capital letters.

At the end of the letter, put your name and title, all in capital letters.

YOUR NAME YOUR TITLE

OTHER OPTIONS

If you are using block format , you can place your address anywhere on the letter. You can place it at the top of the page (top center or top right side), or you can put your address at the end of the letter after your signature and name, regardless of which format you use.

If you are using block form , you can place the date on the left, in the center, or on the right. However, if you are using the indented form , it is usually better to place the date on the right or on the left. Do not put it in the center.

With the indented form , you can put your signature on the right or left side of the page.

If you want to make your letter stand out, boldly type your name in a larger font at the top of the letter and type your address just below it in a smaller font. Example:

The word processing program on your computer might have some standard letter templates that can help you. These programs generally have many different style and format options. We live in a digital world now and snail mail is passé. Formal document formats have changed over time, with most being sent by email today, and cover letters are no exception. So, do you still need to put your own address on a cover letter? Well, not usually, but sometimes it helps - let’s talk about it.

Why Do You Think Your Address Might Be Necessary?

Back when job applications and résumés were sent by postal mail, there were good reasons to include both your complete mailing address and the hiring company address at the top of your formal cover letter . 

Companies needed this information so they could know where you’re from and how to contact you when following up. Plus, cover letters were considered formal business documents and that’s how they were handled. It was the traditional way.

Business communications were more structured in the past. Standard practice was to always start your formal letters with the following format.

  • [Your Name]
  • 123 Maple Street
  • Anytown, State, 12345
  • Phone: (123) 456-7890
  • [Employer’s Name]
  • [Company’s Name]
  • 456 Corporate Blvd
  • Businesstown, State, 67890
  • Dear [Employer’s Name],

What’s wrong with this format?

This is still a valid way to begin a printed letter to be sent by snail mail, but there are problems with this format if you’re sending it by email.

  • It takes up too much space at the top of the letter.
  • It doesn’t include your email address or other contact links.
  • Your physical address is only relevant if you are applying for a location-specific job and you want them to know where you're located. 
  • Businesses no longer need you to tell them their company's address.

The traditional format needs tweaking for the modern world. The biggest problem is the waste of space and time required to scroll down to where the letter gets interesting. 

Modern Email Addressing Standard Practices

Because today’s email provides instant contact with the click of a button, physical addresses have been relegated to the end of the email and included only if needed. 

Here’s a streamlined heading you can use in your cover letter email.

  • [Your name]
  • Email: [email protected]
  • LinkedIn: linkedin.com/in/yourname
  • Dear (Mr/Ms) [Hiring Manager’s Name or Title],

This improved, uncluttered format is more concise, includes your email and professional links, and tells the recipient who you are with no extra fluff. If you'd prefer not to leave your contact details on your cover letter, make sure there's some way to get in touch with you on your resume so the hiring manager knows how to follow up on your online applications.

Additional Considerations for Cover Letters

You must review any application instructions to learn if a particular cover letter format is specified. Be sure to follow directions.

In researching the hiring company you should have investigated its culture and expectations. Being either overly formal or too informal is to be avoided. The company’s style should guide your choice of including your address in the traditional way or not. Try to fit in as a knowledgeable and tuned-in professional.

There are also legal requirements to consider in this global age. 

Some jurisdictions have personal information protection laws that influence how much information should be shared. It may be inadvisable to include your personal physical address.  You’ll need to research this based on the laws of your country and those of the hiring company.

Also, think of your own online security, as the potential for identity theft is growing. Emails may be forwarded to others who don’t respect your right to privacy. Only include personal information that’s absolutely necessary in your cover letters - most of the time your postal address isn't needed. 

The key here is to focus on your cover letter’s content and less on your private information.

What About ATS Scans?

Applicant Tracking Systems (ATS) scan your cover letter for keywords, skills, experiences, and education. They are less interested in your physical address and whether you include it or not.

The only time an ATS might assign value to your address is if the job is location-specific. In this case, including your city and country is appropriate. You needn’t provide your street address.

Also, if your email is improperly formatted the ATS may have difficulty recognizing and parsing your cover letter, including any included address information. Keep your layout simple and stick to standard modern business letter practices. 

Pros and Cons of Including Your Address on a Cover Letter

If you're still not sure whether you should include your address on your cover letter, here are some pros and cons that should help you make up your mind:

  • Location Relevance: If the job is location-specific, including your address can demonstrate that you are local or within a commutable distance, which may be advantageous to employers. Some employers might also prefer or give priority to candidates who are already residing within the region, reducing potential relocation concerns.
  • Formality and Tradition: Including your address can convey a sense of professionalism and adherence to traditional business communication standards, which might be appreciated by some conservative industries or companies. A full address can make your cover letter appear more complete and well-structured, which could be beneficial in some formal settings.
  • Specific Instructions: If a job posting explicitly asks for a full address, including it ensures that you are following the application instructions precisely, which can reflect well on your attention to detail.
  • Privacy and Security: Including your address can expose you to privacy risks, such as identity theft or unwanted contact, especially if the email is forwarded or shared beyond the intended recipient. With increasing concerns over data breaches, minimizing personal information in digital communications can be a safer practice.
  • Irrelevance in Digital Age: Including your address takes up valuable space at the top of your cover letter, potentially pushing more relevant content further down where it might be overlooked. In the digital era, where email and online applications are the norms, physical addresses are often unnecessary information and can make your cover letter appear outdated.
  • Bias and Discrimination: Revealing your address can inadvertently introduce bias if the employer has preferences for candidates from specific areas or if they have concerns about potential relocation costs or complications. If you are applying for jobs in different cities or countries, including your address might make you seem less appealing compared to local candidates, even if you are willing to relocate.
  • Formatting Issues: Overly complex formats that include full addresses might be misinterpreted by Applicant Tracking Systems (ATS), potentially impacting how your application is parsed and evaluated. A lengthy address format can clutter your cover letter, making it less visually appealing and harder to read quickly, which is crucial for keeping the hiring manager’s attention.

Looking Forward

There is more to think about beyond putting your address on a cover letter. 

To create a great cover letter, you must:

  • Highlight your relevant skills and show how they match the requirements of the job.
  • Include keywords that the ATS can match to the job description.
  • Demonstrate that you understand the company culture, products or services, and position in the industry. 
  • Mention your availability, especially if the job description lists specific start and end dates.
  • Showcase highly relevant examples from your work history that illustrate your ability to do the job.

The Final Verdict: Does a Cover Letter Need an Address?

The short answer is no. Back in the day, when people mailed in their job applications, it made sense to include both your address and the employer's. But now, with most applications being submitted online, this practice has become outdated. Plus, if you're applying for jobs in a different city or country, including your address could make you seem less appealing compared to local candidates. Instead of worrying about this old-school detail, focus on what really matters: showcasing your skills, experience, and passion for the job.

Do You Need to Include the Company’s Address on a Cover Letter? No, it is generally not necessary to include the company’s address on a cover letter, especially if you are submitting it via email. Modern business practices prioritize digital communication, and including the company’s address can make your cover letter look cluttered. Focus instead on providing your email, phone number, and relevant professional links.

Should You Include Your Own Address on a Cover Letter? Including your own physical address on a cover letter is not typically necessary in the digital age. Most employers prefer to contact candidates via email or phone. However, if the job is location-specific, you might consider including your city and state to indicate your proximity to the job location.

What Contact Information Should Be Included in a Modern Cover Letter? In a modern cover letter, you should include your name, email address, phone number, and a link to your LinkedIn profile or other relevant professional sites. This streamlined format ensures that hiring managers can easily contact you.

Are There Situations Where Including an Address is Important? Yes, if you are applying for a location-specific job and your proximity is a selling point, including your city and state might be beneficial. Additionally, some application instructions may specifically request a full address, in which case you should comply with the requirements.

When I was test-marketing my new Business Writing for Professionals workshop, feedback showed one of the things people appreciated most was the map of how to format a business letter — especially the spacing.

Here it is for your benefit:

The most popular business letter format is called Full Block Style. It’s easy to remember because everything is lined up against the left margin. (Modified Block Style has the date and closing lined up closer to the right side of the page.)

Date (month day, year: September 29, 2015)

(space two lines)

Name of person you are addressing

City, state ZIP (two spaces between state and ZIP)

Dear __________: (This is the salutation.)

(This is the body or text of the letter — lines single spaced, one extra line space between paragraphs.)

Sincerely, (This is the closing.)

(Space three lines — place written signature here after printing out the letter.)

Name of person writing letter

Title of person writing letter

(Include your address and phone number if it is not on the letterhead. You might include your email, too.)

One variation is to indent the beginning of each paragraph five spaces.

Use Full Block Style for everything from cover letters to thank you letters and any other business correspondence.

If you’re feeling nervous about requesting law school letters of recommendation, you’re not alone. Every application season, many students share your anxiety about reaching out to mentors and instructors for recommendations, especially when a lot of time has passed since their last interaction. Perhaps you’re overwhelmed with the other parts of the application, and you’re thinking the recommendation letter is a light responsibility that doesn’t require much work on your part. Or maybe your favorite professor isn’t responding to your emails, and you’re feeling like this part of the application is completely out of your hands. 

While recommendation letters can be overwhelming, especially when they feel outside of your control, you have more agency in the process than you think. In this post, we’ll guide you through common questions students ask and get you one step closer to submitting a great law school application. 

How many letters of recommendation do I need for law school?

The number of recommendation letters that you need for law school varies. Some schools may ask for one letter while others require two or three. Some schools offer an option for additional letters. Be sure to check LSAC guidelines and each school’s website for their specific requirements. Aim for three to six letter requests, and cast your net wide to professors, supervisors, and mentors, which will allow readers to have a versatile, holistic understanding of your strengths. 

While your GPA and LSAT scores carry a lot of weight, law school letters of recommendation are critical to your application because they provide qualitative information that can’t always be discerned from grades and test scores. Beyond academic ability, programs are looking for traits like critical and analytical thinking, active class participation, and consistent writing skills in future students. In addition, a mentor who effectively communicates, say, your contribution to their research can significantly enhance a reader’s understanding of your extracurriculars in a way that the CV alone cannot. 

The best letters aren’t just glowing, generic praise that could apply to any student. They are specific and complement the other components of your application by painting a holistic picture of your personal qualities, strengths, and growth over time. 

Like personal statements, letters of recommendation can break the tie between similarly exceptional candidates. Let’s say there is only one spot left in a program, and the admissions committee has narrowed down to three applicants, who we’ll call Amy, Dev, and Phil. The three have equally stellar grades and LSAT scores. Their personal and diversity statements are equally memorable. The last thing to consider is their recommendation letters: 

Amy’s letter describes a labor rights protest she organized on campus and details how she mobilized the faculty in her school’s social science department to help. The letter highlights the challenges she overcame, her passion for advocacy, and her ability to reach a range of audiences. 

Dev’s mentor discusses a paper he wrote for his International Relations final. While this instructor only has good things to say about Dev’s writing skills, the letter spends little time on the recommender’s relationship to Dev. This letter also seems rather general and could apply to any other student in the class. 

Phil’s letter is framed around his diverse legal interests but reiterates his CV, almost word for word. There are several typos, and the word “excellent” appears more than once in each paragraph. 

Clearly, Amy has the best letter of the three. 

But did she get lucky? After all, Dev and Phil also have the ability to become excellent law students. Short of reading the letter before it was submitted, how could they have possibly determined how the final letter would turn out? 

The answer to each of these questions lies in the candidates’ relationship with their recommender, as well as time management and communication. These factors can go a long way when choosing recommenders, providing the recommenders with necessary information, and checking in at politely regular intervals.

Select your letter writers carefully, and do everything you can to make it easy for them to recommend you. The recommender’s responsibility is to evaluate your ability to perform well in law school, and at the end of the day, they are doing you a favor.

If you give your recommenders less than a month, for example, don’t expect to necessarily hear back. If you do hear back, you can’t always expect an exemplary letter either. It’s important to consider that your mentors and professors are also busy people, often far busier than you are. Your responsibility is to ensure that they have all the information they need to write an excellent letter. 

Here are a few things we can learn from Amy’s letter, described above:

The recommender had enough time to write a solid letter

Law school admissions especially value letters from faculty members. If they are tenured professors who taught you in a higher-level course, all the better. The best way to approach these potential writers is to reach out as early as possible to begin cultivating a relationship.

How do I build relationships with potential law school recommenders?

In your first or second year of undergrad, start building a rapport with professors you admire. This requires some foresight, as most students haven’t decided on their career path just yet. And they don’t have to! As you explore career options and internship opportunities, don’t be afraid to keep an open mind and ask questions. 

Here are a few habits we highly recommend:

Attending office hours regularly

Participating actively in class discussions

Seeking career advice 

Collaborating on research 

Connecting with professors and supervisors can sometimes take a back seat in the early years of college, as students get used to balancing demanding classes and extracurricular responsibilities. And sometimes, professors and supervisors may seem intimidating and unapproachable. However, they’re usually happy to hear from you, especially if they have dedicated office hours for this purpose. 

Even so, approaching professors after class or setting up a meeting with the head of your department can go a long way. If you’re attending a small liberal arts college, take advantage of the small classes and close-knit departments. 

If you’re at a larger research university, don’t be afraid to inquire about your professors’ research interests and ask thoughtful questions in office hours. Professors may invite you to collaborate on their research after listening to your excitement about an exam or a paper topic. In this way, they can become supervisors, then mentors. 

Who should I ask for recommendations if I didn’t know my professors well?

What if you didn’t build these kinds of close relationships in undergrad? What if you can only think of one professor who knows you well? 

Maybe you’re a Romance languages major who decided to pursue a career in property law after a summer internship with your school’s legal services. You might feel your French literature GSI knows you better than any professor you’ve had so far. You can certainly ask this instructor as they would likely write you an enthusiastic letter.

Having a strong relationship with a recommender is more important than the status of their position. That said, at least one of your recommenders should be a professor, ideally someone who can speak to your abilities to analyze, reason, and communicate orally and in writing.

When brainstorming potential recommenders, aim for combinations that speak to your range and your ability to succeed under different kinds of pressure. Here are two possible combinations:

Combination 1

A political science professor who recommended law school (as opposed to a graduate degree in political science) after a conversation in office hours 

Your supervisor at the disability rights law firm where you interned last summer

An academic advisor who knows the financial challenges your family faced in college and can attest to how you overcame barriers to your education despite this obstacle 

Combination 2

The anthropology fellow who taught your advanced Swahili course

The chair of the Global Studies department, who told you to reach out “any time” after you received an A in her challenging International Relations course 

Your rugby coach, who is also the supervisor at the housing center where you’ve worked for the last two years 

Ultimately, the best recommendation letter writers know you well, can attest to your strengths in the classroom and beyond, and are enthusiastic about recommending you. 

Finally, note that letters from family friends, political figures, and famous people are highly discouraged

Do I need a recommendation from a professor if I'm a nontraditional applicant?

Ideally, nontraditional applicants should still obtain an academic letter of recommendation. Even if you’ve been out of school for several years, it’s worth getting in touch with your old professors (we provide a sample email below). You might be pleasantly surprised by what they remember about you and their willingness to help. That said, admissions committees will usually be forgiving if, as a nontraditional applicant, you can’t reach your old professors or you can’t secure an academic recommendation that’s adequately detailed and strong. In that case, letters of recommendation from supervisors and other professional contacts will typically suffice. In fact, even if you’re able to get an academic letter, we still suggest that you provide at least one professional recommendation if you’ve been out of school for a few years or longer. Law schools value work experience, and they’ll expect to see evidence of how your professional life has made you a worthy candidate.

Start early. Having an application timeline or checklist can keep you organized. 

Remember, the easier you make this process for your recommenders, the better their letters will be. We encourage you to reach out at least two months in advance, providing all the information they need, and checking in at polite intervals.

Professors can also be good resources when applying to unique in-school programs. Consider this initial email from a University of Chicago student referencing a previous discussion regarding graduate programs: 

Dear Dr. Brown,

I hope this message finds you well. I am applying to law schools this fall, and I am writing to ask if you would be willing to provide a letter of recommendation. Our conversation this winter about graduate programs really helped me focus my interests, and I am now sure that law school is the path I wish to take.

If you are able to provide a letter, I would be happy to meet at your convenience to discuss my goals and plans for law school in more detail. I will be taking the LSAT in September, and I plan to apply early decision to the Chicago Law Scholars Program, along with several other schools. 

If you have any questions or need additional information, please do not hesitate to contact me. Thank you for your support and consideration.

What if I haven’t been in touch with my recommenders?

It’s very common for students to lose touch with their recommenders. You might be applying to law school after several years in the workforce. Perhaps you juggled several part-time jobs during college, and you didn’t get much of a chance to establish relationships with professors to begin with. Or maybe you have one mentor who knows you well, but you need three letter writers.

While it’s not good practice to assume that a professor remembers you after more than a year, you can still make an effort to get back in touch. Remind the professor of who you are, let them know what you’ve been doing since they saw you last, and explain your plans for the future. If you are in the same location, you can also write to request a meeting in person even if you have not had much interaction.

Responses may vary, but it never hurts to try. Your email might look like this:

Dear Professor Williams,

I hope this message finds you well. I am reaching out to ask if you would be willing to write me a letter of recommendation as I am applying to law schools this fall. Three years ago, I was a chemistry major venturing into the humanities for the first time. In your Human Rights Literature course, I was introduced to the likes of Hannah Arendt and Edward Said. I have since pursued an internship with Amnesty International, and I currently work at an immigration law firm in Boston. 

If you are able to provide a letter, I would be happy to meet at your convenience to discuss my goals and plans for law school in more detail. I am also happy to send you a paper I wrote for your class, alongside my application materials. I recently took the LSAT, and I am awaiting my scores.

It’s good to keep this preliminary email short. Note that this message does not include several attachments. You don’t want your message to overwhelm, and you want to be considerate. Once they express their willingness to meet and/or write you a letter, then you can send the necessary information as you follow up. 

In your follow-up email, include: 

Your CV and transcript

The other qualitative components of your application, namely your personal statement and a diversity statement , where applicable

The best paper you wrote in the professor’s class, along with the professor’s comments, if applicable 

A list of programs they’re to address in their letter, and the corresponding deadlines 

A list of relevant internship and extracurricular experiences (in addition to the CV). Remember to describe what these meant to you, and what you learned 

Final thoughts

Now that your professors, supervisors, and mentors have completed and submitted your letters through LCAS, you’re ready to go! 

Send a thank you note. Forgetting to send a thank you note is a common mistake that applicants make. Whether it be a card, an email, or a small gift, showing your appreciation tells the recommender that you recognize the amount of time and effort they spent in helping you put your best foot forward. It’s also a way of keeping the door open. If you didn’t have a connection with this person before, now you can continue it.

Finding the right people for law school letters of recommendation can be tricky and requires an understanding of who is among your greatest academic or professional advocates. You can increase the likelihood of receiving a stronger letter by asking for a letter early and giving your recommenders the materials that highlight you, your growth, and the impact you will have at your chosen program.

Medical school letters of recommendation are often under-appreciated. Not giving your letters the respect and attention they deserve is extremely detrimental to your application and could be the difference between being accepted or rejected.

Letters of recommendation are vital to an effective and successful medical school application. They provide a respected professional’s opinion of you, as opposed to your own claims or the opinion of a biased friend or relative. A quality letter from a professor at an academic institution or someone who works with students through extracurriculars holds a lot of weight.

Letters of recommendation offer an impartial summary of your unique skills from a qualified professional—so they have a big impact on admissions committees.

Why Letters of Recommendation Are So Important

Letters of recommendation are a crucial piece of the medical school application. Some argue they’re even more important than the personal statement since the personal statement is naturally biased. After all, a personal statement is all about trying to paint yourself in the absolute best light.

On the other hand, letters of recommendation are written by respected professionals, such as mentors, professors, and physicians. An admissions committee is very likely going to take their word over yours. If the person you ask to write your letter of recommendation has worked closely with you and speaks very highly of you, it’s a big deal.

A negative letter of recommendation is a huge problem. A poor or lukewarm letter of recommendation could do irreparable harm to your application. You must approach this process in advance with plenty of organization, taking care to choose your letters wisely.

Who to Ask For Letters of Recommendation

You’ll need to include a total of four to five letters with your medical school application.

Three of these must be academic letters written by undergraduate professors—two science letters and one non-science letter. The two remaining letters are from your extracurriculars, typically research and clinical experience.

While it may be tempting to secure a respected, recognizable name to write your letters, it’s much more important that you choose someone who knows you well and thinks very highly of you. If you’ve only had a few conversations with the person you’re asking to write your letter, it won’t be effective. They simply won’t have that much to say about you and can’t offer much insight into who you really are.

Choose someone who can speak about your strengths on a deep level. The letter will have a much greater impact on the admissions committee.

What to Provide to Letter of Recommendation Writers

The people you’re asking to write a letter are busy with their own careers and lives. It’s up to you to make the process as smooth and simple as possible. In order to do so, there are a number of key pieces you need to provide.

  • Submission instructions —Provide the writers of your letters of recommendation with all of the information they need to submit your letter to the submission service. Typically, this is the AMCAS Letter Service (for allopathic medical schools.) Your letter writer won’t be submitting the letter to you; they will need to submit it directly to the service. Provide your letter writer with a Letter Request Form, available in the Main Menu of the Letters of Evaluation section. This form is a PDF generated in the AMCAS application for each of your designated letter authors, and it includes your mailing address, AAMC ID, the Letter ID, and information about how to submit letters to AMCAS. The Letter ID is a unique seven-digit code assigned to each letter entry on your AMCAS application. It must be provided to each letter writer in order to correctly match their letter with the letter entry you created in your application.
  • Updated CV —A comprehensive, organized, and professional summary of your academic, work, and extracurricular achievements to date. If you need any assistance crafting your CV, consider our advising services .
  • Academic transcript.
  • Personal Statement —If available. Ideally, you should have at least a first draft of your personal statement prepared by the time you request a letter, but you may ask for academic letters early in your undergrad. If you don’t have a draft yet, write a brief summary of the reasons you are pursuing medicine, including what makes you a unique and qualified candidate.
  • MCAT score —This should be included in your CV, but it’s possible the letter writer will ask for a more verifiable source, such as a score printout. If you haven’t taken the MCAT, don’t delay asking for a letter just because you don’t have your MCAT score yet.
  • Submission deadline —Include the date in writing, either through email or printed with the materials you provide to the letter writer. Make sure the date is at least a week in advance of when you actually need to submit the letter. We recommend giving letter writers six to eight weeks to complete a letter after receiving the materials listed above. This means it’s important to start the process two to three months before you plan to submit your application.
  • A printed copy of materials —Even though the LOR submission process is completely digital, you may have letter writers who prefer to read and review physical materials. Ask them if they would like you to deliver or mail a printed packet of all of the above. It’s up to you to make this process as simple as possible for them and a crisp manila envelope with all of your materials and submission information is a nice touch for those less digitally inclined.

Where — Asking for Letters of Recommendation Virtually

Asking for a letter of recommendation in-person may not be possible, which means you will need to request a letter via email or possibly over Zoom, Skype, Microsoft Teams, and so on. While this may not feel as personal as you intended, all of us need to adapt to our new virtual world.

Virtual meetings are our new normal, so it’s important to cultivate relationships with potential letter writers and mentors online. A mentor could be someone you worked with, someone you met through a mutual contact, or you might find one through professional networks like LinkedIn.

When to Ask For Letters of Recommendation

Start thinking about your letters of recommendation as soon as possible. It will take time to figure out who to ask and even longer to build strong relationships. If you have someone in mind, they may not have the time or feel they know you well enough, so make sure you have a backup plan and budget extra time in case a letter falls through.

Ask toward the end of your time working together or shortly after the conclusion of a class. Don’t wait months or years. You want the letter writer to have you on their mind so they can write a genuine letter full of fresh enthusiasm.

How to Ask For Letters of Recommendation

If you are requesting a letter of recommendation virtually, you can use our sample request template. Be sure to personalize the request with a sentence or two about your relationship. This could include involvement in their class/organization, the time you spent working together, what you enjoyed or learned, or how they inspired you.

1 | Think About Your Letters Well in Advance

Letters of recommendation can make or break your medical school application. Who you ask can make all the difference. Approach relationships with professors and mentors with the idea that they could potentially be one of your letters of recommendation.

2 | Work to Develop Strong Relationships

Relationships take time. Cultivate your relationships with professors and prospective mentors as soon as possible, and mark how often you check-in with them using a calendar. Share your goals and successes with them so they can clearly see your progress and watch you grow. Express gratitude, and be sure to help them in whatever way you can. Relationships are two-way streets, after all.

If in-person office hours are difficult, be diligent about scheduling virtual meetings . You still need to build strong relationships even if you are unable to meet in person.

3 | Only Ask People Who Will Give You a Strong Letter

This is crucial. If you don’t know a professor all that well or scored anywhere under an A- in their class, do not ask that professor for a letter. Ask someone who you have worked with closely, knows you well, and thinks highly of you.

If the person you ask expresses any hesitation, don’t pursue the letter further. Their hesitation is a sign that they either don’t know you well enough, don’t have positive things to say, or simply don’t have the time. It’s better to catch that hesitation early on as opposed to ending up with a late or lukewarm letter.

4 | Make the Process as Simple as Possible

Provide all of the necessary materials to make writing and submitting the letter as smooth as possible. See what to provide in the above section, and ask them if they need anything else ahead of time.

5 | Provide a Deadline to Ensure You Receive Letters on Time

The best letter in the world won’t matter if it’s late. Provide a clear deadline to ensure you receive your letters on time.

Give your letter writers as much time as possible, as they are extremely busy and have likely received plenty of other requests. We recommend two-three months. Set a reminder two weeks out from the due date.

  • Getting a letter from someone who was reluctant when you asked.
  • Not thinking about letters of recommendation early in your application preparation.

Letters of Recommendation FAQs

How many letters of recommendation do i need.

The medical school letter of recommendation requirements vary from school to school. Most schools require at least three letters, but some may ask for four or five. Make sure you check the specific requirements of each school you hope to apply to.

Since the number varies based on the school, we recommend all applicants plan to have four to five letters of recommendation spread across science professors, non-science professors, and extracurriculars.

How Many Letters of Recommendation for Medical School Are Required?

How do I submit letters of recommendation?

Your letter writers must submit their letter electronically through the AMCAS Letter Writer Application or Interfolio . You do not review or submit your own letters of recommendation.

You will need to provide each of your letter authors with submission information, including your AAMC ID, and a unique seven-digit Letter ID. Each letter writer will be assigned an individual Letter ID when you add them to your AMCAS application, which is needed in order to upload your letter(s).

If you are applying through multiple services, AMCAS, TMDSAS, AACOMAS, etc., Interfolio acts as a go-between so that writers only need to upload once. They will still need their unique seven-digit Letter ID for your letter to be matched to your application. There is a small yearly fee to use Interfolio’s Dossier Deliver service .

Letters submitted through either process will be marked as received—immediately with AMCAS, or within three days with Interfolio. Contact your letter writer and ask them to submit the letter again, if a letter is not marked as received by the deadline you provided.

When are letters of recommendation due?

Include your letters with your medical school application. You can also add letters of recommendation up until you submit your secondary application, though you shouldn’t procrastinate. They are a key piece of your application that shouldn’t be left to the last minute. It takes time to ask for letters, and you need to give the letter writer adequate time to complete it.

Secondary applications are due between July and January, but it’s best to submit yours, along with your letters, by the end of the summer.

What if a letter writer doesn’t submit a recommendation?

If a letter is not marked as received through the electronic portal you are using, contact your letter writer and ask them to submit the letter again.

In rare circumstances, a letter writer may disappear or stop responding. They are people too, and emergencies happen. This is why it’s so important to have more letters planned than the bare minimum required for your application.

What if a potential letter writer says no?

If a potential letter writer says no, it means they do not feel they know you well enough, they’re already swamped with other requests, or they don’t have confidence in you. Whatever the reason, it’s important to move on and look for another option.

Even if they hesitate before saying yes, it may be better to find someone else. A poor or even lukewarm letter can jeopardize an otherwise excellent medical school application.

Who can write a letter besides professors?

You should have letters from two science professors and one non-science professor. In addition to professors, you may choose to ask a research PI or mentor, a physician you shadowed or worked closely with, or a volunteer activity supervisor.

You could also ask a TA or an employer for a letter of recommendation if they know you better than your other options. What’s most important is that you choose letter writers who know you very well and will speak highly of you.

Are extracurricular letters required?

While not required, we recommend securing letters of recommendation from extracurriculars that were particularly significant. This may include research mentors or principal investigators (PI), physicians that you shadowed, or leadership from other volunteer organizations. If appropriate, aim to secure a letter from each of your three most meaningful activities on your AMCAS.

Who shouldn’t give me a recommendation?

Don’t ask someone who is positively biased towards you, such as a friend or family member. Your letters should come from people who can provide an honest and impartial recommendation.

If the person you ask seems hesitant or unenthusiastic about submitting a letter of recommendation on your behalf, don’t push it; instead, find someone else. A poor or even neutral letter can jeopardize an otherwise excellent medical school application.

Can I add additional letters after I submit my application?

Yes, you can add additional letters after your application is submitted, but you cannot delete or change the letters your writers submit.

Although you can add letters of recommendation after submitting your application, we do not recommend it. Strong letters take time, so give your letter writers as much time as possible to compose thoughtful, detailed letters. You should choose four to five strong letter writers—having more won’t increase your chances, but it can dilute your positive recommendations with ones that aren’t as strong.

What types of letters does AMCAS accept?

AMCAS accepts Committee Letters, Letter Packets, and Individual Letters. Committee Letters are authored by a prehealth committee or prehealth advisor representing an evaluation of you by your institution. A Letter Packet is a set of letters assembled by your institution, often including a cover sheet from your prehealth committee or advisor. Individual Letters are written by, and represent, the opinions of one letter writer. All three letter types count as one letter entry.

Can I see my letter of recommendation?

Letters of recommendation are submitted confidentially, and you do not get to see them. Don’t ask letter writers what they have written, as they are under no obligation to show you. You should have absolute confidence that the person you ask knows you well and will speak highly of you.

How should I thank letter writers?

Don’t forget about your letter writers as soon as your application is submitted. Send a thank you email once they submit their letter and consider sending them a handwritten card by physical mail when you are accepted to medical school.

What If You’re Asked to Write Your Own Letter?

You may be asked to write your own letter by people who don’t typically write medical school letters of recommendation, such as those who are not part of the medical school world.

While it does mean more work, it’s important to remember that this is as much a win as earning a strong letter of recommendation. If the person you asked to write you a strong letter asks you to write it yourself, it means you just secured a yes . You have a letter writer, even if you have to write the letter yourself. They want to support you, but you’ve got to do the leg work.
