The Pro plan is priced at $7 per month, per user, if paid annually or $9 per month, per user, if billed monthly. This plan provides a singular place for teams to track, manage and execute work in real time. It is the ideal plan for small to medium-sized businesses (SMBs) as the maximum number of users for this plan is 25.

Basic project management, such as task creation, milestone setting and project tracking, can be accomplished with the unlimited sheets, reports and dashboards. The plan, however, limits reports to one sheet and only allows 10 widgets per dashboard. This plan allows for up to 10 viewers per object to ensure everyone on the team can view the project and up to 250 per-built automations per month. Users can view plans with grid, Gantt, card or calendar views. The plan includes 20 GB or attachment storage, support for mobile Android and IOS apps and some integrations including Google Workspace, Microsoft Office 365, Dropbox, Quip and Slack. Support includes online web support, the Smartsheet community and a self-service learning center.

Business Plan

The second tier plan starts at $25 per month, per user, if paid annually or $32 per month, per user, if billed annually. A minimum of three users is required to purchase this plan. The Business plan takes project management up a notch with unlimited automations, unlimited collaborations who can view and edit projects, unlimited sheets per report and unlimited widgets per dashboard. It increases the maximum attachment size from 30 MB to 250 MB and file storage from 20 GB to 1 TB.

The Business plan offers customization features, such as the ability to brand your Smartsheet account with custom logos and colors, a document builder to generate custom PDFs for sheet rows and the ability to publish sheets, reports and dashboards to a unique URL to enable anyone the ability to access these documents.

Another great feature the Business plan unlocks is activity logs, which allow you to track and view all changes made to a report, sheet or dashboard. This becomes more essential as your team expands. It also allows you to compare the planned work alongside the actual work that has been completed. This comparison helps managers and team members measure a project’s progress, identify any bumps in the road and keep projects on track. The Business plan is ideal for businesses that do not have complicated project management needs but do have large teams that need to all be on the same page.

Enterprise Plan

Smartsheet negotiates the price of the Enterprise plan on a case-by-case basis. The plan enhances information technology (IT) governance and administrative powers. As with the Business plan, it caps the maximum attachment size at 250 MB, but it includes unlimited file storage. The Enterprise plan increases security by limiting the methods users gain access to Smartsheet with an SSO or SAML. It also allows administrators to protect sensitive information by restricting the domains to which Smartsheet assets can be shared. The Work Apps feature is a no-code platform that allows you to create mobile and web apps to streamline your business.

Smartsheet offers a free trial for those who want to test out the software before committing to a financial obligation. The trial includes all the features of the Smartsheet Pro Plan and some features of the Business Plan including creating sheets to manage work, sharing sheets with an unlimited number of people and visualizing data with dashboards.

Users are not locked into the plan they originally sign up for. Smartsheet also makes it easy to add or remove users and change plans at any time. Nonprofits can also apply for a discount on Smartsheet’s annual plans during the sign-up process.

Smartsheet is not the only project management software on the market today. Jira and Airtable are two of Smartsheet’s top-rated competitors .

While Smartsheet is a work management software designed for managing tasks and project pipelines, Jira was designed to capture, assign and prioritize bugs quickly, making it a go-to software for developers and software companies. The price of Jira’s first paid plan is comparable to Smartsheet at $8.15 per user, per month. However, Jira’s midtier plan is almost $10 a month per user cheaper. Jira also offers a free plan for up to 10 users.

Airtable is more expensive than Smartsheet with its first paid plan starting at $20 per user, per month, and its midtier paid plan starting at $45 per user, per month. As with Jira, Airtable does offer a free plan for up to five users. If you are looking for a highly customizable platform, Airtable might be for you. The project management software integrates with more than 1000 apps and websites to allow users to customize it to fit their needs.

User Subscription Model System Admin overview

This article provides the details a System Admin needs to know to understand how the User Subscription Model works and what controls/capabilities are available for System Admins on the plan. 

The User Subscription Model provides organizations with a subscription to the Smartsheet platform, which then allows:

  • System Admins to provide paid access to individual, named users
  • Users to create and share sheets, reports, dashboards, and workspaces to collaborate with colleagues to drive projects, programs, and processes

When a user shares core assets with colleagues, they can work with the assets right away. If they need but don’t have paid access to the plan, Smartsheet either grants temporary access as a provisional Member or assigns a free user type.

All users with paid access are Members. System Admins can grant paid access at any time. When users share core assets, Smartsheet either grants temporary access as a provisional Member or assigns a free user type (Guest or Viewer).

  • Members have full Smartsheet access per the subscription plan. They can be shared to assets at any permission level.
  • A System Admin can assign the Member user type at any time.
  • Members may also access Smartsheet non-paid for a provisional period, allowing them to "try before you buy."
  • Guests can have Editor or Commenter permissions to assets.
  • An external user becomes a Guest when they are shared to at least one asset with Editor or Commenter permissions.
  • A System Admin can change an external user’s user type from Member to Guest.
  • Viewers can only have Viewer permissions to assets.
  • An internal or external user becomes a Viewer when shared to at least one asset with Viewer permissions.
  • A System Admin can change an internal or external user’s user type from provisional Member or Member to Viewer.

Internal users and external users

Internal users: 

A user is internal if their email address matches any domain associated with the plan. 

Can receive paid access automatically via user auto-provisioning (UAP)

External users: 

  • A user is external if their email address doesn’t match any domains associated with the plan.
  • Become Guests on a Business or Enterprise plan when someone grants them Commenter or Editor permissions

Pro plans don’t include Guests. External users receive provisional Member access when they are shared to at least one asset with Commenter permissions or above.

User type report

You can download a report of users on your plan whenever you need to. The report lists all active users associated with the plan. It includes the following details by user:

  • Email and domain
  • User type and Admin access types
  • Permissions

Access the user type report from the User Management page to review usage during the reconciliation period.

Provisional status

Smartsheet grants provisional Member access to users to evaluate the service and support collaboration before a System Admin decides whether to pay for ongoing access.

Provisional status indicates:

  • You’re not billed for this Member
  • You can review this Member’s usage before paying for their access.

There is no difference in the user experience between Members or provisional Members in Smartsheet. 

Permission level that grants provisional access:

  • Pro plan, internal or external user : Shared to at least one asset with Commenter+ permissions
  • Business or Enterprise plan, internal user : Shared to at least one asset with Commenter+ permissions
  • Business or Enterprise plan, external user : Shared to at least one asset with Admin permissions

Users will be provisional Members for at least 30 days before they are eligible for reconciliation. 

At the end of the reconciliation period, provisional Members transition to paid Members unless your System Admin moves them to a Viewer or Guest or removes their access.

Do I need to buy Pro Plan licenses for everyone if the companies I work with have buy themselves?

Hi Mat / @LessEnergy ,

If you only need them to edit items and add/download attachments, they don't need a license at all! You can share the items with them with editor permissions and they'll be all set. They only need a license in your plan if they are going to create objects (sheets/reports/dashboards) or modify the structure (add/remove columns, edit dashboards).

That should save you some money!
