First, one of the biggest mistakes you can make is not tailoring the content to the position. When you write a cover letter, you are speaking to one particular hiring manager, not everyone who may ever want to hire you. If you don’t focus the content on that specific job, you might not connect with that hiring manager, causing them to move onto a different candidate.

Second, being too generic can come back to bite you. You want to stand out from the crowd, so you need to make sure your cover letter introduction feels a bit unique.

Here’s a quick step-by-step guide on how to start a letter when you’re trying o land a job:

1. Choose the Right Salutation

The salutation in your cover letter opening serves as a greeting. It’s a chance to acknowledge the reader directly, even if just for a brief second.

Ideally, you want to address the hiring manager by name, using an approach like:

Dear [Mr./Mrs./Ms./Dr.] [First Name] [Last Name]

Now, you can potentially add one more option to the list: Mx. This is a relatively new gender-neutral addition that’s favored by people who consider themselves nonbinary.

Generally speaking, you should only use “Mx.” if you are completely, 100 percent certain that it’s the hiring manager’s preferred title. You don’t want to go with it simply because you don’t know the hiring manager’s gender. Why? Well, since it’s a newer option, not everyone is familiar with it, so some hiring managers might think it’s a typo.

Additionally, people may have a variety of opinions about “Mx.,” and not all of them are positive. Since it’s a bit controversial in certain circles, you could offend a hiring manager by using it if that isn’t what they prefer.

So, what do you do if you know the hiring manager’s name but not their gender or preferred title? Worst case, go with “Dear [First Name] [Last Name]” instead. It’s a bit less formal, but it may be better than getting the title wrong.

If you genuinely don’t know the hiring manager’s name – and can’t figure it out with some research – you can try:

  • Dear [Job Title/Role] – Dear Hiring Manager, Dear Operations Manager, Dear VP of Sales, etc.
  • Dear [Department] – Dear IT Department, Dear Marketing Department, etc.

Those aren’t as personal, but they can do the trick. They at least speak to a particular individual, making it clear that you had a certain recipient in mind. As a result, they are much better than more generic alternatives.

What about “To Whom It May Concern?” Well, we’ve taken a deep dive into how to use to whom it may concern . But, in most cases, that isn’t your best. It feels outdated, for one. Plus, it doesn’t have a particular reader in mind, which isn’t ideal.

The same goes for “Dear Sir or Madam.” Along with being generic and incredibly old-school, it’s also a bit awkward. Plus, it makes it seem like you didn’t even try to come up with something better, and that’s never good.

2. Nail the Opening Sentence

Your opening sentence in your cover letter is what really needs to draw the hiring manager in. As a result, you want to make sure that it packs a wallop.

Usually, you have a few options that can pull this off. First, if you know someone at the company who referred you to the position, you can try name-dropping. Many hiring managers favor direct referrals, so it’s alright to make that connection clear from the beginning.

Second, you can lead off with a relevant accomplishment. This one can get a little tricky to do well. You really have to relate it to something in the role, and that isn’t always easy to manage without using a sentence or so to build in some context.

Finally, you can focus on your excitement. Hiring managers like people who seem passionate about the opportunity, so this route could let you start your cover letter on a great note.

With all of these, you want to make sure the opening sentence taps on the position you’re trying to land. It’s smart to mention the job title, department, and company, as that ensures the hiring manager knows why you’re writing. If it doesn’t fit in the first sentence, then it needs to come in on the second.

3. Round Out the First Paragraph

Generally, your cover letter opening paragraph is going to be two or four sentences long. If you didn’t get it into your opening sentence, use your second one to mention the job opening. That way, the hiring manager understands exactly why you reached out.

After that, it’s time to tap on some relevant skills. Use the job ad to identify high-priority capabilities. Next, treat them like keywords, using the exact same words and phrases to increase your odds of looking like a great match (and getting past an automated screener).

1. Avoid boring or overused openers

Recruiters have read cover letters that start with lines like “I’m excited to apply for the front-end engineering position,” or “Your job posting on The Muse prompted me to…” so often they could wallpaper their homes with them. While those are OK and still acceptable, you'll have a better shot at impressing potential employers with a less cliché opening line.

2. Be lively and personable

People like reading interesting, engaging stuff—the kind that paints a picture, tells a story, and maybe even makes them smile. People like it when you’re human, genuine, and memorable. So figure out something about yourself and your background that relates to the company or position you're interested in, and use that to build a connection.

3. Show what you bring the company

You’ll get more into the details after your opening paragraph, of course. But your cover letter opener should still tell the reader, “This person can do something for us,” rather than, “This job would really help them.”

4. Stick to the point

Your opener, while creative, should still be relevant to the job. Don’t begin by highlighting an unrelated accomplishment or recounting an anecdote that never connects back to why you’re applying for the job. Start with humor and creativity

OK, before you read any of these, we have to stamp them with a big, blaring disclaimer: Do your homework before trying anything like this—learn everything you can about the company and the hiring manager to gauge whether or not they’d appreciate some comedic relief or a bit of snark. If it seems like they would, it’s a great way to make them smile (then call you). If they don’t? Try a different approach.

As we mentioned, the first thing to add to your cover letter opening is your contact information. 

The header’s essential information include the following: 

  • Full name and professional title (if applicable)
  • Phone number
  • Email (a professional email, that is)

In some cases, you can also add the following: 

  • Social media profiles. By this, we mean profiles that are relevant to the position. This includes websites like LinkedIn , GitHub (for developers), or Medium (for writers).
  • Personal website. If you have a personal website you’ve created for your industry (i.e. you’re a writer with a blog), then make sure to include the link to your website on your cover letter.

After you’ve added your information, you should add the date and continue with the recipient’s name and address. So:

So, make sure to address the hiring manager that’s going to review your manager directly. 

Now, there are a few ways you can do that. 

The simplest - and most obvious - option is to look up the head of the department you’re applying to on LinkedIn. 

Let’s assume that you’re applying as a Communications Specialist at Novoresume. The hiring manager is probably the Head of Communications or the Chief Communications Officer. 

After a quick LinkedIn lookup, you can probably find out who that person is (that’s me!).

  • Whenever possible, make your achievements as quantifiable as possible. “Improved sales by 20% in 2 months” is more impressive than “improve sales.”
  • Show how your past achievement is relevant or can add value to your current position.

Weaving a newsworthy event into your cover letter opening can be a strategic (not to mention very impressive and memorable) way to demonstrate your awareness.

Remember to choose news directly related to the company’s industry and not just some general trends. Offer a brief yet insightful take on the news, then wrap it up by connecting the info to your skills and how you can help the company address any potential challenges it presents.

Example: 

“The recent news of a major data breach at [Company Name]’s competitor has highlighted the worrying development of cybersecurity threats. As a skilled Software Engineer, I’m confident I can contribute to your company’s ongoing efforts to stay ahead of these risks. In my previous role at [Previous Company], I successfully implemented a multi-layered security protocol that reduced unauthorized access attempts by 70%.” 

5. Impress With A Great, Creative Story

A story breaks the mold and instantly sets you apart from other applicants! And since most stories can connect with readers on an emotional level, your application will be much more likely to be remembered. 

Still, even with your boundless creativity, make sure the story adheres to a professional tone and highlights an accomplishment/ lesson learned that showcases at least one impressive skill.

“Getting lost in the wilderness was never a fear for me as a child, and once, such exploration led me to discover a hidden waterfall, so breathtaking that it sparked my lifelong affection for nature. A touch of humor in your cover letter opening can be a risky but potentially rewarding strategy. It makes you seem personable and much more approachable!

From my observation, a lighthearted quip or relatable observation is better than a long, runny joke. Research the company culture to ensure your funny story aligns with their tone, and leave out anything that sounds the slightest offensive or controversial. 

“In a past life, I may have believed Comic Sans was the height of design sophistication. Thankfully, those days are far behind me. Now, as a passionate Graphic Designer with a keen eye for clean layouts and eye-catching visuals, I’m excited to apply for the Graphic Designer position at [Company Name].” 

7. Tell Them Something They Do Not Know

Another compelling strategy to pique the hiring manager’s curiosity is to start with what they might not know. I was impressed by some UNI Global Union employees who showcased some of the latest industry research and trends right at the beginning of their cover letters. And that definitely helped them land a spot on the shortlist for their current roles.

The point is to leave the HR manager wanting more, then smoothly transition from the initial fact to how your qualifications can fill that knowledge gap and address the potential issue/opportunity it presents!

“Did you know that a recent study revealed that Gen Z consumers are more likely to be swayed by user-generated content than traditional celebrity endorsements?

This drastic shift in consumer behavior demands modern marketing strategies. As a highly motivated Marketing Specialist with expertise in influencer marketing, I’m confident I can leverage this trend to develop impactful campaigns that resonate with Gen Z audiences. In my previous role at [Previous Company], I spearheaded a UGC campaign that…”

8. State A Personal Mission

A personal mission reflects your core values and career aspirations, giving the formal cover letter a more genuine touch. Companies are also more likely to hire passionate applicants whose values greatly align with the company’s mission or benefit the latter to a great extent. 

“My strong belief in the power of collaboration to create positive change fuels my passion for project management. Throughout my career, I’ve strived to lead teams effectively to achieve impactful results. I believe [Company Name]’s mission to promote sustainable development through community-driven initiatives deeply resonates with my own values.” 

9. Explain Your Career Change 

(If the job you apply for doesn’t align with your previous professional experience)

Hiring managers will naturally question your decision to change careers, so addressing it upfront is the best way to demonstrate both your self-awareness and initiative! 

Do not dwell too much on your past experiences, however. Instead, focus on transferable skills from your previous career that remain relevant to the new position.

1. Show your enthusiasm

Showing enthusiasm in your cover letter is a great way to let a potential employer know you’ll have a great work ethic when you’re there. It also lets them know you’re motivated to do the job. Start your cover letter by telling them one or two reasons that really excite you about the role – maybe it’s the company culture, specific duties in the job description, or past success the company has had.

Example: “ I am so happy to see the job posting for an event manager with Special Days and Nights.  My skills at increasing brand awareness and driving growth with high-traffic events are a perfect match with what you say you’re looking for. I’m especially excited because I’ve actually been to a few events you’ve put on, and I was really impressed with the quality, consideration, and professionalism at each one. I’m confident that the 6 years of experience I’ve had coordinating events have prepared me for the work, and moreover, I think my enthusiasm for this job would make me a great member of your team. ”

2. Tell them what you like about the company

Start by showing them you've done your research. Find out if they won an award in their field, or maybe did something that got them in the news. In the first sentence of your cover letter, congratulate them or say how impressed you are by this, and relate it to a reason you respect or are impressed by the company. It’s important to come across as genuine, not flattering, so try to be specific and honest, without going over the top.

Example: “ I saw in the news that Big Accounting won a Civic Employer Award from the city for working to ensure its offices are barrier free and as accessible, and that you go into the community to improve public spaces, too. I love the care this shows. Aside from the professional skills I bring to the table, I’m also a strong supporter of these efforts. I would love to be part of a company that I share such an important value with. ”

3. Show your passion for the work

Being passionate about your work is a great indicator of success. Employers want to hire someone they can trust will give them quality work, and it’s even better if you show them you can do that with a positive attitude.  It’s a great idea to start your cover letter off by getting this across. Try to find one or two ways the work described in the posting matches your personal passions, and explain how this makes you a valuable option for the company.

Example: “ Ever since I was young, I’ve been interested in music and sound. From the earliest age I was always listening to the background tracks and foley in movies and videogames. It’s something that I love to do and I would love to help with this work at your studio. When I saw that there was an opening for a sound technician with VRSoundFX, I had to apply. Working with you in this role would literally be a dream come true, and I really hope to have the opportunity to show you just how much I have to offer. ”

4. Tell them what you can do for them

Showing a hiring manager exactly how you’d add value to their team is one of the best attention grabbers in your toolkit. Describe specific accomplishments and qualifications you have that would benefit them. You may not see it at first, but if you reread the specific skills or expectations in the job description, you can make connections with situations, actions and results from past work experiences.

Example: " I’m applying to this role at SteelCo with great interest because I saw that you are looking for a Production Lead who can increase production timelines. In a previous job I was able to do just that.  In a similar role, I was able to increase production output by 15% a year after I started working there by using a continuous improvement plan to remove bottlenecks. I believe I can help your company meet its production targets using similar methods I have employed in the past.”

5. Show off your creativity

Even though your cover letter should always be professional, it’s okay to add a little personality or humour to it – as long as you’ve done your homework on the company (more on that later) and know it suits the company culture. Hiring managers get tons of applications, so anything you can do that catches their attention is a great way to get your foot in the door.

Example: “In another UX Design Manager role I had, a client changed their mind on the layout of the interface one day before we were due to show them a mock up. Even though we were really short on time, given the importance I put on client satisfaction, I rolled up my sleeves, gathered the troops, and got to work with them making every single change (and the corrections we needed from those) the client had asked for. It was a crazy request, but I knew it would make them happy, so I did what I had to do to get it done!”

To make the best impression you always want to tailor your cover letter to the job you’re applying for as much as possible.  Doing this will set you apart as someone who really wants to work with the company, it helps them see you’re passionate about the job, shows you’re detail oriented, and builds a personal connection right off the bat. One way you should do this is by finding the hiring manager's name to personalise your cover letter greeting.  Try these three ways to find it:

  • Look on social media

Check the Company Website

Your first stop may be the company’s website.  A lot of companies will include profiles of their management team.  If you find the HR manager, you’re set!

Search social media

HR managers often list themselves on LinkedIn or other social media.  Search the company name and see who comes up – their job title or position will usually be listed. Look for the hiring manager, HR manager, or even the department head you would be working for.

Contact the Company

It’s also fine to reach out to the company directly.  Call them and say something like “ I’m applying to a job posting you’ve posted on ___, and I’d like to include the hiring manger’s name in my cover letter. Would it be possible for you to tell me to whom I should address it? ”.  Some companies may not because of privacy rules, but often you’ll get the answer you’re looking for.

Can’t Find the Name?

Having said all that, what do you do if you really can’t find the hiring manager’s name?  Stumped? Here’s how to start a cover letter without the hiring manager’s name. First, you want to avoid using clichés like “ To whom it may concern ” or “ Dear sir or Madam ”. These are old crutches that will do the opposite of what you want. One option is to use “ Dear Hiring Manager ”. Another is to address the letter to “ Dear [Department] Head ”, if you know the department you want to work in. Neither of these are as specific as you’d want, but they’re a step in the right direction and might help in a pinch.

Another way to tailor your cover letter is to check the company website to get a feel for the company culture. This can guide how and what you write to them. Of course, you want to do this within reason and only if it rings true with your personality. That said, if the company website is formal, bear that in mind. On the other hand, if the company is really about fun and being casual, add a bit more flair.

What to write in your cover letter next

Let’s assume you conduct research on the position, find the specific hiring executive, create a professional-looking header, start a cover letter for a job with an appropriate salutation and write a stunning opening paragraph. The format is neat, the tone is right. Take a short coffee break and unwind before starting the second paragraph (body) and conclusion of the letter. The rest of your cover letter is as important as the introduction, so you need your mind to be fresh.

Body/Second Paragraph

Generally, the body of a cover letter consists of several paragraphs, where you go into detail about your qualifications, explain your enthusiasm, list your relevant skills and experience, and convince the reader that you are a perfect fit for the position.

Employers value enthusiasm and genuine interest. In fact, they tend to value enthusiasm a little bit more than your skills and experience. No, this doesn’t mean that enthusiasm can replace a lack of professional expertise or skills. However, if you’re truly enthusiastic about getting in, you’ll have a better chance for the job, even if you lack certain skills. Show the reason you are enthusiastic about working with them. Give examples, if you have them. And remember that from the employer’s perspective, excitement means loyalty and dedication in the future; that’s why showing genuine interest works.

If you’ve consumed some of the company’s products, tried their services, or are somehow connected to what the company does (or did), do mention this. For example, if you are applying to an mHealth software development company, tell them you are an active user of their EMR/EHR platform or application. Tell the story of why you’ve chosen their platform among dozens of other similar services, and what benefits it brings to you personally.

Show that you’ve been keeping up with company news and recent events, and are interested in what is going on. For example, you might mention recent interviews with company representatives, conferences held by their organization, the launch of a brand-new product, a hot-piping feature for the product, etc. Awareness of the company’s events will differentiate you from the rest of the applicants.

This doesn’t have to be the first sentence, though. But if you manage to do so, your chances for an interview will increase tremendously. Conduct research about the company’s goals, and try to identify the key issues facing the company. Offer the solution you see for a particular issue. For instance, if you are a UI/UX designer and you see that their EMR platform is not intuitive enough for the end-user, or its navigation pattern is inconvenient, offer your solution and back up your vision with past experience. Real solutions are impressive.

“In short, I believe myself to be a great candidate for this position. I would welcome the opportunity to discuss the Social Media Marketing Manager position in person. Although you might have written a resume before, cover letters can be a bigger mystery. The good news is: by following a simple, three-paragraph process, you can quickly write a cover letter that will get attention and likely lead to a job interview!

What Is a Cover Letter?

Imagine you’re handing your resume to someone in person. Maybe you’re at a job or career fair, going into an employer’s office, or even handing it to an acquaintance so that they can get it to the hiring manager. You wouldn’t just give that person your resume, turn, and walk away without saying a word. You would probably take the time to  introduce yourself  and explain why you’re giving that person your resume, how you found out about the job, and why you think you’re qualified for it.

That’s the  purpose of a cover letter .

The cover letter is a more personalized introduction than your resume. It’s a message that represents what you would otherwise say in person, face-to-face. It should be uniquely written for each company and position, follow a standard; one-page business letter format, and consist of three to four paragraphs. If possible, it should also include the hiring manager’s name.

The cover letter usually accompanies a resume. It allows you to expand on the  information in the resume  or explain something that might appear as a red flag or barrier to employment. However, just as important is that the cover letter allows the recruiter to assess your written communication skills!

Why Do I Need a Cover Letter?

Cover letters aren’t always required for a job application. Often, they’re listed as an optional document. Most applicants  won’t  submit a cover letter because of this (let’s face it, job applications can take a lot of time!). However, this also means that submitting a cover letter is an extra step that will help you to stand out from the other applicants — and show how interested you are in the position!

How Do I Write a Cover Letter?

Here’s how to write a cover letter in three easy paragraphs:

Paragraph 1 (About You)

This is where you briefly introduce yourself, what position you’re interested in, and how you discovered it (i.e., job posting site, flyer, social media). If someone recommended you for the position, drop their name in the very first sentence and include their title and affiliation.

Also be enthusiastic! List three of your most important or impressive qualifications from your resume to explain why you’re applying for the position. You may also wish to include the degree or program you’re currently studying.

Example: I’m applying for your Human Resource Specialist position found on LinkedIn, as recommended by John Smith, your Office of Human Resource Manager. I would be a valuable addition to your team, with my five years of administrative experience, BAS in Organizational Management, and Microsoft Office certification.

Paragraph 2 (About the Company)

Answer the question “Why do you want to work here?” by researching the company and writing about at least one way that you resonate with its culture, values, or mission. You can get great information by visiting the company’s website (check the About Us or Mission/Vision pages) or by looking them up in the news category of your favorite search engine. Emphasize how your experience meets the company’s needs and why it would be a privilege to work for them.

Example: Congratulations on your team participating in a local Habitat for Humanity build. I would love to work for an organization that is so committed to improving our local communities. I’ve personally participated in four Habitat for Humanity builds; the skills I’ve learned, coupled with the knowledge I gained, have inspired me to seek out other, similar volunteer opportunities within our community.

Paragraph 3 (Thank You and Closing)

Be sure to thank the employer/hiring manager, provide contact information, and mention that you look forward to hearing from them. Express enthusiasm about an upcoming interview!

Example: Thank you for your time and consideration. I look forward to discussing my professional experience in greater detail in an upcoming interview. You can reach me at [phone number] or [email address].

It's a myth that high quality job openings are few and far between thanks to Covid. The truth is, despite the economic uncertainty created by the pandemic, there are many great openings out there. And to get them—or, at least, have a chance at getting them—you first need to capture the attention of hiring managers. And the best way to do that is to write compelling cover letters. So here are the three keys to writing cover letters that stand out.

1. Convey your personality, quirks and all.

Showcasing your uniqueness and allowing your personality to shine through in your cover letters can magnetize hiring managers, sending instant messages that you might be the candidate they're looking for. The secret to achieving this is to use specific details, rather than vague ones.

For example, the following was recently used by an applicant when applying for a Head of Marketing position (shortly after sending this, the candidate was interviewed and then hired):

“I have a passion for data and analytics. I enjoy spending (a little too much time) geeking out in Google analytics, advertising platforms, and BI tools (Tableau and Looker), digging deep into data to identify opportunities that can be leveraged to drive growth and inform testing strategies for campaigns, websites, and products.”

Now compare the above to the below (which has less personality and fewer details, and thus would likely not stand out):

“I am well versed in data analytics, and I am experienced with Google analytics, BI Tools, and other advertising platforms. I have a proven ability to inform testing strategies for campaigns for websites and products.”

Here's another example of cover letter phrasing that captures the attention of hiring managers:

“I'm rather obsessed with personal organization. I read three organizational blogs on my own time, and I've organized my desktop folders into color-coded sub-categories. My friends laugh at me for saying things like, ‘An organized space equals an organized mind,' but I don't like wasting time looking for things.” 

Now compare that to this less specific phrasing:

“I have a proven track record of being organized, and I have a passion for it. I have a proven knack for keeping files organized on an ongoing basis, and I have put organizational processes and procedures in place for my department. The bottom line is organization is always my highest priority.” 

2. Prove your level of dedication to your profession.

Another way to stand out is to illustrate specific things about your dedication to your field. In the following example, a candidate showcases her dedication to her profession, proves that she spends a lot of time thinking about driving results in her field, and shows that she takes concrete steps in order to be a high quality contributor in her field. All of which goes a long way when it comes time for hiring managers to decide which candidates to interview. 

“I believe that a good marketing strategy requires seeking out the latest trends and staying one step ahead of the competition. I've attended the Traction conference two years in a row and completed the 2018 Reforge Growth Series, a highly credible and exclusive course that only accepts 10 percent of applicants and is built by leaders from Hubspot, Uber, and other firms. Through these professional developments, I've opened my mind to uncommon marketing methods, and I pride myself on thinking outside the box to develop strategies that create sustainable, low-cost customer acquisition loops that lead to long-term positive ROI.” 

Now compare the above to the below, which is less detailed and includes less specific phrasing:

“I have the skills and requirements for this position, and I believe I would complete every task asked of me to the highest standard expected. My background and experience make me an excellent fit for this position for many reasons. I am very interested in marketing, and I think I would be a great asset to the team.”

3. Include concrete, quantitative results that show your value.

In any written application, you'll need to showcase some form of quantitative results to stand out. Note that even if you don't have a lot of shiny results in your career yet (or even any relevant experience—which is okay!), you can still use words to capture someone's attention with what you have done. And if you do have a record of achieving quantifiable results, then by all means include them, like in the below:

“I developed several Google ad campaigns that were worth more than $500,000 and that resulted in high-level customers. Also, through testing and optimization, I increased newsletter sign-ups by more than 200 percent.”

Now compare that to this bland sentence:

“I have experience in Google ad campaigns, as well as experience in testing and optimization.”

A final note

When trying to convey your personality, get across your dedication, or communicate your value, there's a big difference between saying you're a good fit for the job and actually showing it.

So, when writing your cover letters, try to hold these words in mind: I know you (the hiring managers) don't know me, so let me show you exactly why I'm completely invested, committed, and passionate about doing this specific type of work. And let me show you the specific reasons why hiring me, over all other candidates, would be beneficial to you.

If you hold all this in mind, the right details and words will flow right out of you—and into your cover letters.

As a writer, I did my fair share of job hunting. Despite my experience and expertise, I often struggled with impressing interviewers due to my lackluster cover letters. Limited resources and time constraints left my cover letters far from impressive. However, things changed when I mastered the art of writing compelling cover letters. Soon, I started receiving interview calls and eventually landed my dream job. In this article, I will share these cover letter writing techniques with you, so you too know how to write a cover letter and can effortlessly land the job of your dreams.

What is a Cover Letter and What does it Contain?

A cover letter is a one-page business letter that you submit along with your resume when applying for a job. Its primary purpose is to persuade the employer that you are an excellent candidate for the role. It complements your resume by clearly linking your experience and interests to the position you're applying for. Essentially, the cover letter is your chance to convince the employer to invite you for an interview.

A typical cover letter contains several key elements, each serving a specific purpose in showcasing your qualifications and enthusiasm for the position. Here’s a breakdown of what a cover letter typically includes:

Your Contact Information: Name, address, phone number, and email address.

Date: The date you are writing the letter.

Employer’s Contact Information: Name, title, company, and address of the person you are addressing the letter to.

2. Salutation

Address the letter to a specific person if possible (e.g., “Dear Mr. Smith,” or “Dear Hiring Manager,”).

3. Introduction

Opening Statement: A brief introduction mentioning the job you are applying for and how you found out about the position.

Hook: A compelling reason why you are interested in the job and the company.

First Paragraph: Explain why you are a good fit for the role. Highlight key qualifications and experiences that align with the job requirements.

How to Write a Cover Letter For a Job in 5 Steps!

Firstly, it’s crucial to streamline the process of crafting a cover letter, but that doesn’t mean using the same cover letter for every job position or even the same position at different companies. Customization is key to standing out.

Step 1. Research the Company- AIPal

Open the job listing you want to apply for, typically found on platforms like LinkedIn or Indeed. These platforms usually provide a detailed job description outlining the requirements and responsibilities.

To begin, I will write a cover letter for the Sales & Marketing Manager position at Pride Mile, which is a remote job listing I found on LinkedIn.

To proceed effectively, I will copy the job description and input it into AIPal to extract key keywords. These keywords are crucial as they highlight the skills and attributes the employer is seeking for the role.

Prompt: Extract keywords from this job description that I can in my cover letter.

To refine your keyword research, you can ask AIPal to extract keywords and categorize them into tiers.

Prompt: Extract keywords from this job description that I can in my cover letter. Assign them in three tiers ranging from the most important to least important.

This way, you'll identify the most critical keywords, which should be emphasized more in your cover letter, and less important keywords, which can be mentioned once or twice.

This approach will give me a comprehensive understanding of what the job entails and what qualities I should emphasize in my cover letter.

Step 2. Choose a template- WPS Office

Choosing a cover letter template is important because it gives you a clear structure to follow, saving you time and ensuring your letter looks polished. It guides you on what information to include, from your skills to your qualifications, making it easier to customize each letter for different job applications. Templates also help keep your letter organized and visually appealing, which is key to making a positive impression on employers.

WPS Office has been a godsend in this regard, offering plenty of cover letter templates. I followed these steps to find the desired cover letter for the Marketing Manager position:

Open WPS Office and click on "New" on the left side pane.

Next, simply click on the “All” tab in the left side pane. This will display numerous templates available on WPS Office for documents, spreadsheets, and presentations.

To save time browsing through all the options, simply search for "cover letter". This filters out irrelevant templates and helps find the right cover letter template for the job post in context.

Upon finding the suitable template for the job post, click on it to preview.

To start customizing the selected template, click the "Download" button at the top right corner, which will launch it in the WPS Writer interface for editing.

Header and Salutation

Headers and salutations are essential in a cover letter for their role in setting a professional tone. The header provides your contact details and the date, ensuring easy communication and formal presentation.

Salutations, like "Dear Hiring Manager," personalize your letter and demonstrate attention to detail, addressing the recipient directly and showcasing professionalism from the start.

One of the standout features of WPS templates is its ready-made header, which enhances the visual appeal of your cover letter. It includes sections for your contact information, the date, and the recipient's details.

Addressing the recipient by name whenever possible adds a personal touch; if that information isn't available, a generic greeting such as "Dear Hiring Manager" remains professional and appropriate. Starting your cover letter with a compelling introduction is crucial. It’s your chance to grab the hiring manager's attention and make a strong first impression. A well-crafted opening should highlight your enthusiasm, showcase your qualifications, and give a hint of your personality.

Here are a few key things to keep in mind to create an engaging and effective cover letter introduction:

Expressing genuine passion for the role or the company can make a strong impact. For example, in a sales manager position:

Dear Mr. Brown, my name is Anna and I’m excited about the opportunity to help your company exceed its sales targets. My five years of experience as a Sales Representative at XYZ Inc. have equipped me with the skills needed to drive results. Last year, we surpassed our KPIs by 50%, and I’m eager to bring this success to your team.

Referrals can add credibility to your application. For instance, in an architectural position:

I was thrilled to learn about this job opportunity from John Doe, who has been with your firm for five years. John and I collaborated on an architectural project for over a year, and he recommended I apply for this role, believing I’d be a great fit.

Demonstrating your knowledge about the company shows dedication. For example, in a social worker position:

I have always admired the work your organization does with vulnerable communities. Your commitment to social justice resonates with my professional values, and I believe my previous experience as a social worker aligns perfectly with your mission.

Starting with a significant accomplishment can immediately capture interest. For example, in a public relations position:

As a Public Relations Representative at Company XYZ, I enhanced the company’s reputation and public image, resulting in a 40% increase in customer satisfaction. I am eager to bring my proven track record of success to your organization as the Head of Communications.

Step 4. Body- the Most Important Part

The body of your resume is where you showcase your qualifications, experience, skills, and achievements to demonstrate why you're the ideal candidate for the job. Structuring this section effectively is crucial to capturing the attention of hiring managers and persuading them to consider you for the position.

Here’s how to craft a compelling resume body:

Start with a Strong Summary or Objective Statement:

Begin your resume with a concise summary or objective that highlights your career goals and what you bring to the table. This helps recruiters quickly understand your professional background and aspirations. For example:

Results-driven marketing professional with 8+ years of experience in digital marketing strategies and campaign management. Proven track record of increasing brand awareness and revenue growth through innovative marketing initiatives. Seeking to leverage my skills and expertise to contribute to the continued success of ABC Company.

Highlight Key Skills:

List relevant skills that align with the job requirements. Use bullet points to make them easy to scan. Focus on both technical skills (e.g., software proficiency, languages) and soft skills (e.g., communication, leadership). For example:

In the body of the cover letter, it's crucial to incorporate keywords extracted from the job description. My experience in developing and implementing robust digital marketing strategies, coupled with a proven track record in customer acquisition and social media management, aligns perfectly with the goals outlined for the Sales & Marketing Manager position at Pride Mile.

Detail Your Work Experience:

Include your work history in reverse chronological order, starting with your most recent position. For each job, provide the following details:

Job Title and Company: Clearly state your position and the organization you worked for.

Dates of Employment: Specify the period you worked there.

Key Responsibilities: Outline your main duties and responsibilities in concise bullet points. Focus on achievements and quantify results where possible. For example:

Managed a team of 5 digital marketers to execute SEO and PPC campaigns, resulting in a 30% increase in website traffic and a 25% growth in lead generation.

Achievements: Highlight specific accomplishments that demonstrate your impact. Use metrics to quantify your achievements whenever feasible. For example:

Led a successful rebranding campaign that increased brand recognition by 40% and led to a 15% increase in customer engagement.
