For more than 30 years, the TED conference series has presented enlightening talks that people enjoy watching. In this article, Anderson, TED’s curator, shares five keys to great presentations:

  • Frame your story (figure out where to start and where to end).
  • Plan your delivery (decide whether to memorize your speech word for word or develop bullet points and then rehearse it—over and over).

A little more than a year ago, on a trip to Nairobi, Kenya, some colleagues and I met a 12-year-old Masai boy named Richard Turere, who told us a fascinating story. His family raises livestock on the edge of a vast national park, and one of the biggest challenges is protecting the animals from lions—especially at night. Richard had noticed that placing lamps in a field didn’t deter lion attacks, but when he walked the field with a torch, the lions stayed away. From a young age, he’d been interested in electronics, teaching himself by, for example, taking apart his parents’ radio. He used that experience to devise a system of lights that would turn on and off in sequence—using solar panels, a car battery, and a motorcycle indicator box—and thereby create a sense of movement that he hoped would scare off the lions. He installed the lights, and the lions stopped attacking. Soon villages elsewhere in Kenya began installing Richard’s “lion lights.”

If, like me, you've been using Google Slides unquestioningly for years, it's a whole new world out there. The newest crop of online presentation tools go way beyond the classic slideshow experience, with new features to keep your audience's attention, streamline the creation process with AI, and turn slide decks into videos and interactive conversations.

I've been testing these apps for the past few years, and this time, I spent several days tinkering with the top presentation software solutions out there to bring you the best of the best.

All of our best apps roundups are written by humans who've spent much of their careers using, testing, and writing about software. We spend dozens of hours researching and testing apps, using each app as it's intended to be used and evaluating it against the criteria we set for the category. We're never paid for placement in our articles from any app or for links to any site—we value the trust readers put in us to offer authentic evaluations of the categories and apps we review. When looking for the best presentation apps, I wanted utility players. After all, slideshows are used for just about everything, from pitch decks and product launches to class lectures and church sermons. With that in mind, here's what I was looking for:

Pre-built templates. The best presentation tools should have attractive, professional-looking templates to build presentations in a hurry.

Sharing and collaboration options. Whether you plan to share your webinar slides later, or you just want to collaborate with a coworker on a presentation, it should be easy to share files and collaborate in real-time.

Flexibility and customization options. Templates are great, but top presentation apps should enable you to customize just about everything—giving you the flexibility to build exactly what you need.

Affordability. Creating compelling presentations is important, but you shouldn't have to bust your budget to make it happen. With capable free tools on the market, affordability is a top consideration.

Standalone functionality. There's no reason to use multiple tools when one can do it all, so I didn't test any apps that require and work on top of another presentation app like PowerPoint or Google Slides.

Familiar, deck-based UI. For our purposes here, I only tested software that uses slides, with the familiar deck-based editor you expect from a "presentation" tool (versus, for example, a video creation app).

While many apps now offer AI features in one way or another, I found many of these features to be lacking still—they're often slow, struggle to pull in relevant imagery, and yield wildly inconsistent designs. For that reason, I opted not to make AI features a strict requirement (for now!), and I've still included apps that don't offer AI. (Of course, if you opt for one of those, you can still easily get AI-generated images from a separate tool and copy them into your presentation app of choice.)

Beyond that, I also looked for presentation apps that brought something unique to the table—features above and beyond what you can get for free from a legacy solution like PowerPoint or Google Slides. (And I opted not to test any brand new apps that are still in beta, since there are so many established options out there.)

Here's what my testing workflow looked like:

I went through any onboarding or guided tutorials.

I created a new deck, scanning through all available templates, noting how well-designed they were (and which were free versus paid).

I added new slides, deleted slides, edited text and images, and played around with other content types.

I changed presentation design settings, like color schemes and background images.

I reviewed and tested the sharing and collaboration options.

I tested out presenter view (when available).

After my first round of testing, I went back into the top performers to test any unique or niche features like AI, brand settings, interactive content, and more. With that, these are the best presentation apps I found—each one really brings something different or radically easy to the table.

The Magic Design AI tool is still inconsistent and not super impressive

Canva offers one of the most robust free plans of all the presentation apps I tested. The app delays account creation until after you've created your first design, so you can get started building your presentation in seconds. Choose from an almost overwhelming number of beautiful templates (nearly all available for free), including those designed specifically for education or business use cases.

Anyone who's accidentally scrolled too far and been bumped to the next slide will appreciate Canva's editor interface, which eliminates that problem altogether with a smooth scroll that doesn't jump around. Choose from a handful of preset animations to add life to your presentations, or browse the library of audio and video files available to add. And Canva also has a number of options for sharing your presentation, including adding collaborators to your team, sharing directly to social media, and even via QR code.

Present directly from Canva, and let audience members submit their questions via Canva Live. Once you share a link to invite audience members to your presentation, they can send questions for you to answer. As the presenter, you'll see them pop up in your presenter view window, so you can keep the audience engaged and your presentation clear. Alternatively, record a presentation with a talking head bubble—you can even use an AI presenter here—to share remotely.

Canvas has added a number of AI-powered tools , but I wasn't super impressed by them yet. When I asked the Magic Design tool to generate a presentation from scratch, for example, the result was a bunch of unrelated images, inconsistent design, and surface-level copy. These features will likely improve in time, but for now, you're better off starting from one of Canva's many great templates.

The best presentation app for AI-powered design

Beautiful.ai (web, mac, windows).

Generative AI features aren't great yet

If you're like me, editing granular spacing issues is the absolute worst part of building a presentation. Beautiful.ai uses artificial intelligence to take a lot of the hassle and granular design requirements out of the presentation process, so you can focus on the content of a presentation without sacrificing professional design. If I needed to make presentations on a regular basis, this is the app I'd use.

Many apps have recently added AI design features, but Beautiful.ai has been doing it for years—and they've perfected the UX of AI design, ensuring the tool's reign as the most streamlined and user-friendly option for AI design.

The editor is a little different from most presentation apps, but it's still intuitive—and you'll start off with a quick two-minute tutorial. When creating a new slide, scroll through "inspiration slides" to find a layout you like; once you choose, the app will pull the layout and automatically adapt it to match the design of the rest of your presentation.

With 10 themes, several templated slides, over 40 fully-designed templates, and 23 different color palettes to choose from, Beautiful.ai strikes a perfect balance between automation and customization.

While Beautiful.ai doesn't offer a free plan, paid plans are reasonably priced and offer sharing and collaboration options that rival collab-focused apps like Google Slides. And speaking of Google, you can connect Beautiful.ai with Google Drive to save all your presentations there.

Note: I did test the newly released generative AI feature (called DesignerBot) and felt it wasn't much to write home about. It's great for adding individual slides to an existing presentation—automatically choosing the best layout and matching the design to the rest of the deck—but as with most other apps, it struggled to generate a quality presentation from scratch.

Beautiful.ai pricing: Plans start at $12/month for unlimited slides, AI content generation, viewer analytics, and more. Upgrade to a Team plan for $40/user/month to get extra collaboration and workspace features and custom brand controls.

If you're a founder looking for an AI presentation tool for your pitch deck, Slidebean is a great Beautiful.ai alternative for startups. The app offers a number of templates; a unique, content-first outline editor; and AI design help that you can toggle on or off for each slide. I didn't include it on the list mainly because of the price: the free plan is quite limited, and the paid all-access plan starts at $228/year.

Steep learning curve

Struggling to squeeze information into a basic, linear presentation? Give Prezi a try. Unlike nearly all other presentation apps on the market, Prezi Present doesn't restrict the structure of your presentation to a straight line. The editor focuses on topics and subtopics and allows you to arrange them any way you want, so you can create a more conversational flow of information.

With the structural flexibility, you still get all the same customization features you expect from top presentation software, including fully-editable templates. There's a learning curve if you're unfamiliar with non-linear presentations, but templates offer a great jumping-off point, and Prezi's editor does a good job of making the process more approachable.

Plus, Prezi comes with two other apps: Prezi Design and Prezi Video. Prezi Video helps you take remote presentations to a new level. You can record a video where the presentation elements are displayed right over your webcam feed. Record and save the video to share later, or connect with your video conferencing tool of choice (including Zoom, Microsoft Teams, and Google Meet) to present live.

Prezi pricing: Free 14-day trial and a free plan that includes up to 5 visual projects; paid plans start at $5/month and include additional features like private presentations and Prezi Present.

The best presentation app for video presentations

Powtoon (web, ios, android).

Powtoon makes it easy to create engaging videos by orienting the editor around a slide deck. Editing a Powtoon feels just like editing a presentation, but by the time you finish, you have a professional video. 

You can edit your slides at any time, and when you hit play, a video plays through your deck—the feel is almost like an animated explainer video. Each slide includes the animations you choose and takes up as much time as is needed based on the content on the slide. Powtoon figures the timing automatically, and you can see in the bottom-right of the editor how much time is used on your current slide versus the total presentation. If you ever want to present as a slide deck, just toggle between Slideshow and Movie.

You'll likely need to subscribe to a paid plan to get the most out of Powtoon—like creating videos longer than three minutes, downloading them as MP4 files, and white-labeling your presentations—but doing so won't break the bank. Plus, you'll unlock tons of templates complete with animations and soundtracks.

One of my favorite Powtoon features is the ability to orient your video: you can choose horizontal orientation (like a normal presentation) or opt for vertical (for mobile) or square (for social media). When your presentation is ready, you can publish straight to YouTube, Wistia, Facebook Ads, and any number of other locations.

While many presentation apps are built for presenter-led decks, Genially 's interactive features and animated templates make it easy to build a self-led presentation. A variety of interactive buttons allow you to show viewers additional context on hover, have them skip to any page of your deck, and let them navigate to external links.

This presentation program offers a bunch of searchable templates, including some for business proposals, reports, social media presentations, and more (though most of those are available on premium plans only). Genially also includes Smart blocks —templated blocks of content for elements like data visualizations and image galleries.

My favorite feature is the brand settings. Premium users can set universal branding guidelines that include your logo, color scheme, fonts, images, and backgrounds, among other options. Think of them like a custom template, created and customized by you, that the whole team can use. Once set, your team can easily create on-brand presentations that automatically apply your brand settings, without even thinking about it.

Plus, Genially supports additional content like training materials, infographics, and interactive images—all subject to your brand presets.

Need to collaborate on presentations with your team? Pitch is a Google Slides alternative that gets the job done. As far as decks go, Pitch includes all the beautifully-designed templates, customizability, and ease of use you expect from a top-notch presentation tool. But the app really shines when you add your team.

If you're looking for a simple, yet capable presentation app that's a step up from Google Slides, Zoho Show is a great option. It's completely free to use, offers a clean, intuitive editor, and includes a number of great templates.

While the handful of "Themes" offered are on the basic side, Zoho templates boast a more modern and professional design than much of what Google Slides or PowerPoint offer. And I love that you can set the font and color scheme for the whole template, right from the start.

The app doesn't skimp on collaboration or shareability either. You can invite collaborators via email or shareable link, and comments and version history make it easy to work together on presentations. Once you're ready to share, you can even broadcast your presentation to a remote audience right from within Zoho. Plus, you can one-click lock slides to prevent any more editing or hide individual slides to customize your presentation for different audiences.

You can even connect Zoho Show to Zapier , so you can do things like automatically create a presentation when something happens in one of the other apps you use most.

I tested a lot of apps claiming to use AI to up your presentation game, and Gamma 's generative features were head and shoulders above the crowd.

Simply give the app a topic—or upload an outline, notes, or any other document or article—approve the outline, and pick a theme. The app will take it from there and create a fully fleshed-out presentation. It's far from perfect, but Gamma produced the most useful jumping-off point of all the AI presentation apps I tested. 

Here's the key: Gamma is much more geared toward the iterative, chatbot experience familiar to ChatGPT users. Click on the Edit with AI button at the top of the right-hand menu to open the chat, and you'll see suggested prompts—or you can type in your own requests for how Gamma should alter the presentation.

Once you've done all you can with prompts, simply close the chat box to manually add the finishing touches. While you do sacrifice some granular customizability in exchange for the AI features, you can still choose your visual theme, change slide layouts, format text, and add any images, videos, or even app and web content.

What about the old standbys?

You might notice a few major presentation players aren't on this list, including OGs Microsoft PowerPoint, Apple Keynote, and Google Slides. These apps are perfectly adequate for creating basic presentations, and they're free if you have a Windows or Mac device or a Google account.

I didn't include them on the list because the presentation space has really developed in the last several years, and after testing them out, I found these behemoths haven't kept pace. If they weren't made by Microsoft/Apple/Google, I might not even be mentioning them. They're pretty basic tools, they're behind the curve when it comes to templates (both quantity and design), and they don't offer any uniquely valuable features like robust team collaboration, branding controls, video, and so on.

Some of these companies (think: Microsoft and Google) are openly working on some pretty impressive-sounding AI features, but they haven't been widely released to the public yet. Rest assured, I'm watching this space, and the next time we update this article, I'll retest tools like PowerPoint and Google Slides to see what new features are available.

In any case, if you're reading this, you're probably looking for an alternative that allows you to move away from one of the big 3, and as the presentation platforms featured above show, there's a ton to gain—in terms of features, usability, and more—when you do.

5. Make sure all of your objects are properly aligned.

Having properly aligned objects on your slide is the key to making it look polished and professional. You can manually try to line up your images ... but we all know how that typically works out. You're trying to make sure all of your objects hang out in the middle of your slide, but when you drag them there, it still doesn't look quite right. Get rid of your guessing game and let PowerPoint work its magic with this trick.

Here’s how to align multiple objects:

  • Select all objects by holding down Shift and clicking on all of them.
  • Select Arrange in the top options bar, then choose Align or Distribute .
  • Choose the type of alignment you'd like.

Here’s how to align objects to the slide:

  • Select Align to Slide .
  • Select Arrange in the top options bar again, then choose Align or Distribute .

6. Use "Format Object" to better control your objects' designs.

Format menus allow you to do fine adjustments that otherwise seem impossible. To do this, right-click on an object and select the Format Object option. Here, you can fine-tune shadows, adjust shape measurements, create reflections, and much more. The menu that will pop up looks like this:

Although the main options can be found on PowerPoint’s format toolbars, look for complete control in the format window menu. Other examples of options available include:

  • Adjusting text inside a shape.
  • Creating a natural perspective shadow behind an object.
  • Recoloring photos manually and with automatic options.

7. Take advantage of PowerPoint's shapes.

Many users don’t realize how flexible PowerPoint’s shape tools have become. In combination with the expanded format options released by Microsoft, the potential for good design with shapes is readily available. PowerPoint provides the user with a bunch of great shape options beyond the traditional rectangle, oval, and rounded rectangle patterns.

Today’s shapes include a highly functional Smart Shapes function, which enables you to create diagrams and flow charts in no time. These tools are especially valuable when you consider that PowerPoint is a visual medium. Paragraphing and bullet lists are boring — you can use shapes to help express your message more clearly.

8. Create custom shapes.

When you create a shape, right click and press Edit Points . By editing points, you can create custom shapes that fit your specific need. For instance, you can reshape arrows to fit the dimensions you like.

Another option is to combine two shapes together. To do so, select the two shapes you’d like to work with, then click Shape Format in the top ribbon. Tap Merge Shapes .

You’ll see a variety of options.

  • Combine creates a custom shape that has overlapping portions of the two previous shapes cut out.
  • Union makes one completely merged shape.
  • Intersect builds a shape of only the overlapping sections of the two previous shapes.
  • Subtract cuts out the overlapping portion of one shape from the other.
  • Fragment will split your shape into different parts depending on where they overlap.

By using these tools rather than trying to edit points precisely, you can create accurately measured custom shapes.

9. Crop images into custom shapes.

Besides creating custom shapes in your presentation, you can also use PowerPoint to crop existing images into new shapes. Here's how you do that:

  • Click on the image and select Picture Format in the options bar.
  • Choose Crop , then Crop to Shape , and then choose your desired shape. Ta-da! Custom-shaped photos.

10. Present websites within PowerPoint.

Tradition says that if you want to show a website in a PowerPoint, you should just create a link to the page and prompt a browser to open. For PC users, there’s a better option.

Third party software that integrates fully into PowerPoint’s developer tab can be used to embed a website directly into your PowerPoint using a normal HTML iframe. One of the best tools is LiveWeb , a third-party software that you can install on your PowerPoint program.

By using LiveWeb, you don’t have to interrupt your PowerPoint, and your presentation will remain fluid and natural. Whether you embed a whole webpage or just a YouTube video, this can be a high-quality third party improvement. To install the add-on, simple head to the LiveWeb website and follow the instructions.

Unfortunately, Mac users don’t have a similar option. A good second choice is to take screenshots of the website, link in through a browser, or embed media (such as a YouTube video) by downloading it directly to your computer.

11. Try Using GIFs.

GIFs are looped animated images used to communicate a mood, idea, information, and much more. Users add GIFs to PowerPoints to be funny or quickly demo a process. It's easy to add GIFs to your slides. To do so, simply follow these steps:

  • Download and save the GIF you want.
  • Go to the slide you want the GIF on.
  • Go to the Home tab, and click either Insert or Picture .
  • From the Picture drop-down menu, choose Picture from File .
  • Navigate to where you saved your GIF and select it. Then, choose Insert .
  • It will play automatically the moment you insert it.

12. keep it simple..

PowerPoint is an excellent tool to support your presentation with visual information, graphics, and supplemental points. This means that your PowerPoint should not be your entire presentation. Your slides — no matter how creative and beautiful — shouldn't be the star of the show. Keep your text and images clear and concise, using them only to supplement your message and authority.

If your slides have dense and cluttered information, it will both distract your audience and make it much more likely that you will lose their attention. Nothing in your slides should be superfluous! Keep your presentation persuasive by keeping it clean. There are a few ways to do this:

  • Limit bullet points and text.
  • Avoid paragraphs and long quotes.
  • Maintain "white space" or "negative space".
  • Keep percentages, graphs, and data super basic.

13. Embed your font files.

One constant problem presenters have with PowerPoint is that fonts seem to change when presenters move from one computer to another. In reality, the fonts are not changing — the presentation computer just doesn’t have the same font files installed . If you’re using a PC and presenting on a PC, then there is a smooth workaround for this issue.

Here’s the trick: When you save your PowerPoint file (only on a PC), you should click File , then Options, then open up the Save tab. Then, select the Embed fonts in the file check box under Preserve fidelity when sharing this presentation . Now, your presentation will keep the font file and your fonts will not change when you move computers.

The macOS PowerPoint version has a similar function. To embed your fonts on a Mac, do the following:

  • Open up your presentation.
  • On the top bar, click PowerPoint , then click Preferences .
  • Under Output and Sharing , click Save .
  • Under Font Embedding , click Embed fonts in the file.

14. Save your slides as a PDF file for backup purposes.

If you’re still scared of your presentation showing up differently when it’s time to present, you should create a PDF version just in case. This is a good option if you’ll be presenting on a different computer. If you also run into an issue where the presenting computer doesn’t have PowerPoint installed, you can also use the system viewer to open up the PDF. No laptop will ever give you trouble with this file type.

The only caveat is that your GIFs, animations, and transitions won’t transfer over. But since the PDF will only work as a backup, not as your primary copy, this should be okay.

To save your presentation as a PDF file, take the following steps:

  • Go to File , then click Save as …
  • In the pop-up window, click File Format.
  • A drop-down menu will appear. Select PDF .
  • Click Export .

You can also go to File , then Export , then select PDF from the file format menu.

15. Embed multimedia.

PowerPoint allows you to either link to video/audio files externally or to embed the media directly in your presentation. You should embed these files if you can, but if you use a Mac, you cannot actually embed the video (see note below). For PCs, two great reasons for embedding are:

  • Embedding allows you to play media directly in your presentation. It will look much more professional than switching between windows.
  • Embedding also means that the file stays within the PowerPoint presentation, so it should play normally without extra work (except on a Mac).

Note: macOS users of PowerPoint should be extra careful about using multimedia files.

If you use PowerPoint for Mac, then you will always need to bring the video and/or audio file with you in the same folder as the PowerPoint presentation. It’s best to only insert video or audio files once the presentation and the containing folder have been saved on a portable drive in their permanent folder. Also, if the presentation will be played on a Windows computer, then Mac users need to make sure their multimedia files are in WMV format. This tip gets a bit complicated, so if you want to use PowerPoint effectively, consider using the same operating system for designing and presenting, no matter what.

16. Bring your own hardware.

Between operating systems, PowerPoint is still a bit jumpy. Even between differing PPT versions, things can change. One way to fix these problems is to make sure that you have the right hardware — so just bring along your own laptop when you're presenting.

If you’re super concerned about the different systems you might have to use, then upload your PowerPoint presentation into Google Slides as a backup option. Google Slides is a cloud-based presentation software that will show up the same way on all operating systems. The only thing you need is an internet connection and a browser.

To import your PowerPoint presentation into Google Slides, take the following steps:

  • Navigate to slides.google.com . Make sure you’re signed in to a Google account, preferably your own.
  • Under Start a new presentation , click the empty box with a plus sign. This will open up a blank presentation.
  • Go to File , then Import slides .
  • A dialog box will come up. Tap Upload , then click Select a file from your device .
  • Select your presentation and click Open .
  • Select the slides you’d like to import. If you want to import all of them, click All in the upper right-hand corner of the dialog box.
  • Click Import slides.

When I tested this out, Google Slides imported everything perfectly, including a shape whose points I had manipulated. This is a good backup option to have if you’ll be presenting across different operating systems.

17. Use Presenter View.

In most presentation situations, there will be both a presenter’s screen and the main projected display for your presentation. PowerPoint has a great tool called Presenter View, which can be found in the Slide Show tab of PowerPoint. Included in the Presenter View is an area for notes, a timer/clock, and a presentation display.

For many presenters, this tool can help unify their spoken presentation and their visual aid. You never want to make the PowerPoint seem like a stack of notes that you’re reading off of. Use the Presenter View option to help create a more natural presentation.

Pro Tip: At the start of the presentation, you should also hit CTRL + H to make the cursor disappear. Hitting the "A" key will bring it back if you need it!

10 Tips to Improve your Presentation Slides

As accounting and finance professionals, we are ­frequently called on to present data and information to facilitate strategic decision making. These presentations must effectively tell a story that convinces others to take appropriate action. Since the presentation slides are an important tool in telling the story, we must give due care to their design and preparation.

When trying to present a lot of vital information, one of the easiest mistakes to make is to create slides that are nothing but bullet points and large blocks of text. Your slides shouldn’t read like a transcript of your presentation. If they do, you can cancel the face-to-face meeting and simply send the presentation deck to the expected attendees so they can read the slides at their convenience and get all the content they need.

Your slides should be a visual aid to your presentation—with heavy emphasis on visual. People can process visuals faster than they can process text, so your audience will be better able to concentrate on understanding what you’re saying when they aren’t reading along with (or, more likely, ahead of) you as you speak. Here are 10 tips to help you move away from text-heavy slides and harness the power of the visual aid to tell your story and give a more impactful, informative presentation.

1. PRESENT ONE IDEA PER SLIDE.

There are a number of rules of thumb that people use for determining how many slides should be used in a presentation of a given length, such as “No more than one slide per minute” or “10 slides for a 20-minute presentation using 30-point font.” Forget these and any other rules you may have heard.

Slides are free, so don’t worry about the number of slides in the presentation deck. What you need to concentrate on is preparing effective slides that contain only one idea. You won’t save any presenting time by cramming three ideas on a single slide rather than doing one separate slide for each idea. But while your slide count will increase, it’s likely that your effectiveness in communicating those ideas will also increase because your audience will be focused on the one, single idea rather than juggling three different ideas at a time.

2. CHANGE BULLETED LISTS TO GRAPHICAL ELEMENTS.

You’ve probably heard that a slide should have no more than six bullet points with no more than six words on each point. The problem with those slides is that your audience will be reading your slides while you’re talking, and they can’t concentrate on what you’re saying if they’re reading. They also will read faster than you can talk, so they will have to sit and wait while you finish saying what they have already read.

Consider converting the text to a graphical format as shown in Figure 1. PowerPoint Smart Art provides several options for changing bulleted lists to graphical displays. Notice that the slide on the right contains the same words as the bulleted list, but it’s much more visually appealing. To prevent your audience from reading ahead, add an animation to the slide so that each point appears as you begin talking about it, helping your audience focus only on that particular point.

3. CHANGE BULLETED LISTS TO MEANINGFUL PICTURES.

It has long been said that a picture is worth a thousand words, so convert your bulleted lists to pictures. In Figure 2, adding the image of the map brings the words to life. You can also add slide animations so that each text box and the related color-coded arrow appears on the map as you discuss that specific option. The picture helps the audience understand the concept much faster than just printed or spoken words. Since research shows that people remember pictures better than words, following this tip also should help your audience remember your content after the presentation. Being able to use pictures to help tell your story or present your argument in this manner is quickly becoming a particularly important skill for accounting and finance professionals, who are increasingly being expected to use visualizations in the era of Big Data.

4. USE AN ORIGINAL SLIDE TEMPLATE.

It’s easy to open PowerPoint and select a stock template. But after a while, everyone recognizes the template and it can start to feel “old’ or “tired.” You can capture your audience’s attention by designing a custom template. It doesn’t have to be fancy—just something different. Another option is to consult with your company’s marketing and branding department to see if there’s a corporate-specific template available.

Consider the title slides in Figure 3. The slide on the left is a generic template. It does nothing to generate interest and grab the audience. The slide on the right, however, is a custom template based on the topic of the presentation. The bat, ball, glove, and grass picture can be repeated at the bottom of each slide, or you could find a related picture or graphical elements to use on the content slides.

5. MODIFY DEFAULT GRAPH FORMATS.

For those of us in the accounting and finance realm, charts and figures will likely be major components of our presentations. With a few mouse clicks, you can generate nice graphs in programs like Microsoft Excel. While they’re helpful in displaying data, using them effectively in a presentation will require some adjustments to the standard output. Identify the most important information in the graph and make it stand out in some way.

Consider the first set of slides in Figure 4. Audience members aren’t going to sit at a presentation and try to read all the data points on the line chart in the left-hand slide. (And if they try, that means they won’t be paying attention to you speaking.) Now look at the slide on the right. Unnecessary grid lines were removed, other lines were lightened, and the data labels were reformatted. The result is much easier to read.

In the second set of slides, the chart is being included to highlight the performance of the Custom line. Notice how your eye is drawn immediately to the relevant line in the right-hand slide. All it took was increasing the size of the line and adjusting the colors of the chart.

Also avoid the temptation to use 3D-style charts. They present a distorted view of the data. Consider the 3D bar chart at the left of Figure 5. It’s almost impossible to determine the correct height of the bars. Should you look at the front or the back of the bar to determine the height? And look at the Standard bar for 2014. In the 3D chart, the value appears to be less than 4. When you convert it to a 2D chart, however, the value is clearly greater than 4.

Pie charts have the same issue. In the second set of graphs in Figure 5, Regions 1, 3, and 5 are all the same value (10%). In the 3D pie chart, however, Region 3 looks quite a bit larger than 1 and 5.

6. USE PICTURES AS YOUR BACKGROUND.

Let’s face it, while a plain white background may be appropriate in some circumstances, the result looks very plain. Consider using an image as your slide background instead. When using a picture, however, you need to make sure there is enough contrast between the background and the information presented on the slide. Make sure the text is still readable and will stand out. This might require adding a semi-transparent shape behind the text to increase the contrast while still letting the picture show through, as shown in Figure 6.

While it may be tempting to use the first picture that appears in a Google search, you must be aware of copyright issues. Look for pictures that are shared under a Creative Commons license ( www.creativecommons.org ) or that are in the public domain. And as with any work, provide appropriate citations when required.

7. USE WHITE SPACE TO IMPROVE READABILITY.

White space, also called negative space, is the space between the various elements on your slide, including the slide margins. Notice the little bits of space added between the bars in Figure 6. Adding that extra bit of white space makes the chart appear less crowded and more readable.

8. RESIZE, CROP, AND RECOLOR PICTURES.

When looking for a picture to use on a slide, most of us choose one without giving its composition a second thought. Even though the photographer took it a certain way, that doesn’t mean we have to use it that way. Sometimes the picture becomes more effective after it’s resized and cropped. Notice in Figure 7 how the original picture on the left, which puts the whale in the center of the slide and doesn’t fill the slide, has been enlarged to cover the slide and then repositioned and cropped. The result is a background picture that provides more visual interest, greater focus on the whale as the picture’s subject, and more space in the upper-left to add text.

One trick to help maintain a consistent feel within a slide deck is to recolor the pictures to a single color palate. In Figure 8, PowerPoint's Colortool was used to match a color palette by adding a green tint to a full-color picture. Other recoloring options include adjusting the color saturation and color tone to alter the color vibrancy.

9. APPLY THE RULE OF THIRDS.

First articulated by John Thomas Smith in 1797, the rule of thirds is a guideline used by painters, photographers, and cinematographers to frame a visual image in a way to generate compositional energy and interest. Basically, this rule divides the design canvas into thirds, both horizontally and vertically. Rather than positioning the important visual elements in the center of the canvas, these elements are placed on or near one of the “third” lines or at their intersections. Notice in Figure 9 how the people are in the lower-right-hand side of the frame rather than centered in the photo. This makes it more dynamic than if the people were right in the center. If a picture you want to use doesn't follow this rule, resize it and position it on your slide so that it does. The two slides in Figure 7 are an example of using this trick to make a picture more visually appealing.

As you adjust the image to make it more effective—whether you’re cropping or resizing it, changing its colors, or applying the rule of thirds—remember to keep in mind how the text and other elements will appear on top of the image. You don’t want the photo to draw attention away from the ideas you’re presenting or make it too difficult for the audience to read.

10. ELIMINATE UNNECESSARY TEXT.

Most of us have a tendency to put too many words on a slide. Perhaps it’s because we think that having the words on the slide will help our audience remember what we’re saying. But research actually shows that people will remember more of what we say in a presentation when the words aren’t on the slide. Removing the words also will eliminate the temptation to read the slide to the audience.

In the set of slides presented in Figure 10, much of the initial text has been eliminated to create a simple pictorial slide. The eliminated text will be shared with the audience through the spoken presentation. If you believe it’s necessary to provide the extra words or a transcript of the presentation to the audience, prepare a handout to distribute at the end of the presentation.

LEARNING BY EXAMPLE

Applying these 10 tips will get you started in creating more visually engaging presentations, but don’t stop there. Presenting information is a critical skill for accounting and finance professionals, so you always need to be on the lookout for ways to improve. A good way to begin to master a more visual slide design approach is to look at what others are doing. When you see an effective slide design that speaks to you, file it away for later use. Think of it as curating your own “Pinterest” board of good slide designs.

To get started, I recommend that you check out three books that have helped me make the switch to more visual slide design. Garr Reynolds, a pioneer in this movement, has written two books that provide many examples of redesign efforts: Presentation Zen: Simple Ideas on Presentation Design and Delivery and Presentation Zen DESIGN: Simple Design Principles and Techniques to Enhance Your Presentations . Nancy Duarte, founder of leading presentation development company Duarte, Inc., details her approach in slide:ology: The Art and Science of Creating Great Presentations .

It may take a little more time and creativity to implement these tips, but with practice they will become second nature. Then your audience will thank you for saving them from “death by PowerPoint.”

How to Create an Interactive Presentation with iSpring Suite

To get started, download the iSpring Suite free trial and install it on your computer. Then, open a presentation you would like to make interactive and go to the new iSpring Suite tab in the PowerPoint ribbon.

We’ll show you three ways to make your presentation more interactive with iSpring Suite and explain each one step by step.

2. Click New Interaction in the pop-up window and select from 14 ready-made templates to present steps, timelines, and processes, or create a glossary or a FAQ. Then fill out the template with text and images.

3. Once your interaction is ready, click on Save and Return to Course .

1. To create an interactive quiz or a survey, select Quiz on the iSpring Suite toolbar.

2. Click on Graded Quiz in a pop-up window if you want to create a knowledge assessment, and choose from 14 quiz templates, including multiple-choice, true or false, sequence, and fill-in-the-blanks.

3. Type in your question and answer options.

4. When the quiz is ready, click Save and Return to Course on the toolbar.

Create an interactive role-play

You can simulate a customer service scenario and engage your audience in an interactive role-play. For example, to improve their communication skills, you can illustrate how to behave in a particular conversation.  

1. To create a new role-play, first, click the Role-Play button on the toolbar.

4. Enter the character’s expressions and possible replies. Then, simply connect each reply with a new scene.

5. When the role-play is complete, click Save and Return to Course on the toolbar.

But how do you transform a heap of information into a well-structured presentation you can’t stop reading? There’s a structure you can follow.

3-step process for organizing a magnetic presentation:

1. Prioritize content

Your presentation should immediately capture interest and demonstrate relevance before moving on to establish understanding .

A) Build interest:

Begin with a strong hook that grabs your audience's attention. This could be an intriguing statistic, a powerful image , or an engaging question. It should stir curiosity and make your audience eager to hear more.

B) Establish relevance:

Once you have their attention it's time to establish why your presentation matters to your audience.

Address your audience's main concerns. Make sure your content directly speaks to these pain points, and address them in order of importance.

2. Build anticipation

A great presentation is like getting a new car – it builds anticipation, takes you on a thrilling ride, and ends with you wanting to share the experience with all your friends.

Start with a compelling problem your audience relates to and follow up with a promise of an amazing way they can solve it. This problem-solution dynamic creates a suspense that keeps your audience glued to your presentation.

3. Use a story framework

Finally, use a story framework to give your presentation structure and flow.

In the digital age where technology practically enables our everyday lives, making a PowerPoint presentation is almost effortless — but an effective one? That takes practice and most importantly, a keen understanding of how to do it.

Making Your Best PowerPoint Presentation — The Ultimate Guide

In this guide, we will be breaking presentations down into the two key components to be considered: content and visuals . Most people get carried away with either, but for a PowerPoint to be sufficiently informative and impressionable, these two must complement each other in order to achieve the perfect balance.

Understand Your Audience

We sometimes ask our clients to think of a PowerPoint presentation as a gift you’re preparing for someone. When selecting a present, you have to keep in mind his / her general background, preferences and needs.

The same goes for creating a presentation; it is essential to familiarize yourself with the style of your audience.

Flashy slides and dramatic transitions may work well with children but not with adults. As such, before you begin working on anything, take a couple of minutes to think about the people you are reaching out to. It will help you determine how important it is to impress them, and how much consideration you’ll need to give to your presentation.

Spontaneous presentations are fun (try them out sometime!), but chances are, if you’re reading this, you’re creating a presentation for a specific task.

With that in mind, ask yourself what you hope to accomplish. Is it to deliver your content in 15 slides, or 20 minutes? Is it to achieve a certain conversion rate after the presentation? Knowing and keeping a clear idea of what your goal is can help you measure the success of the presentation, and gauge what is required to fulfil your objectives, which can be a huge time-saver.

To put it simply — if there is no purpose or objective, there is no reason to give the presentation.

b. Use Ethos, Pathos and Logos

Language is a powerful medium through which ideas are conveyed, and one good way to manipulate it is through the use of Ethos, Pathos and Logos. Ethos calls upon the ethics or values of the speaker, Pathos evokes emotions in the audience and Logos relies on logic by using evidence and facts to persuade.

While a delicate balance of all three is the ideal scenario, it is likely that there will be one aspect that warrants greater attention. For instance, if you’re giving a talk at a university, an appeal to ethics and boosting your credibility as an established figure is what will hook your audience’s attention and convince them that you are worth listening to.

On the other hand, if you’re a representative of a non-profit organization calling for donations, pathos would appear to be the most significant tool, as the most important thing would be to move the hearts of your audience, compelling them to take action.

While it is cool (we love our jobs!), try focusing on getting your content right first, as it will influence your layout to a certain extent. Generally, we recommend starting with understanding your objectives and the audience who will view your presentation.

Then arrange your presentation in a coherent and compelling manner; we usually do this through a storyboard, but you can do it in any way that works for you.

Once you’ve got a general outline down, work on selecting your main visuals and the overall look of the presentation such as the colour, fonts, and background. You can then put it all together in PowerPoint based on what you’ve planned.

Prepare Detailed Handouts or Publications for Your Audience

Regardless of the size of the audience you are addressing, PowerPoint presentations with too many visuals and too little text can be virtually meaningless without the speaker’s narration.

Most people are aware of the benefits of having more visuals than text, but what they don’t know is the importance of putting in the effort to create a detailed, written handout as a takeaway from the presentation for the audience to reflect on and refer to.

There is, unfortunately, little point in having your audience remember the stunning graphics you had but not the main points of your sharing.

Be sure to spare a few more minutes and include the key points of your presentation in the handout so that it does not become a fleeting work that will not survive beyond your vocalization of the points. This is especially important when your presentation is packed with essential information that you want the audience to retain.

The creation of detailed handouts also serves another practical function, which is to cater to any interested parties who might have missed the presentation due to various reasons, or for audience members who attended your talk to spread the word. Create User-Friendly Exports

With technology being ingrained into our everyday lives, you may find yourself in a situation where you are asked to send an online copy of your PowerPoint presentation to someone else. While that sounds easy, measures should be taken to ensure that the version the other party receives and looks through is how you want it to be seen.

Never assume that your deck will look the same on all platforms; if the other party does not have PowerPoint installed on their computer or is using a completely different version of it, it might very likely result in your slides appearing differently. This means that your alignment might be off, fonts are not displayed correctly, or worse, that your speaker’s notes are clearly seen in the presentation file.

Thankfully, there is one easy solution to prevent this — export your presentation as a PDF so that everything will remain as it is, and no changes can be made to it. This can be achieved through File > Export > Create PDF.

Remember: You may have the best PowerPoint presentation, but you still need to be prepared for all possible scenarios as much as possible!

Familiarize Yourself with the Functions in PowerPoint

If you’ve ever faced the problem of Googling repeatedly to locate several functions in PowerPoint, you may not be making full use of the convenience that this beautiful program offers.

There is a ribbon, or a toolbar, that runs along the top of the PowerPoint window which contains most of the commands that are used frequently. The ribbon is organized into tabs, and each tab contains a group of related sources. For instance, in the “Review” tab, you can find some of the most commonly used tools that may be useful, such as checking for spelling and grammatical errors or activating the thesaurus.

Before you start working on your presentation, take a few minutes to run through the functions available again. Afterward, you will find that your process becomes much more efficient, as you won’t have to waste time searching for a particular function. The same goes for keyboard shortcuts; using Ctrl / Command + c & v is much faster than using your mouse to search for the copy and paste functions. Moreover, learning about the different functions that exist may just get your creative juices flowing as inspiration can come from that knowledge.

In addition, PowerPoint also has a Quick Access Toolbar which can be placed in two possible locations, depending on your preference. It is a customizable toolbar containing a set of commands that are independent of the displayed ribbon. Buttons that represent commands can be added to the Quick Access Toolbar, and this toolbar will always remain visible, which means your creation process will become that much simpler and more efficient.

Create a Captivating Cover Title

Picture your presentation as an advertisement. Summarize your entire presentation in a phrase, 7 words or less, that you want your audience to take away. The key here is to make it a compelling one — for instance, benefit statements such as “Boosting Sales Through Technology” for a sales pitch will work well in helping your audience understand the most important message being conveyed in the presentation.

We recommend introducing the phrase right at the start so that the audience has ample time to familiarize themselves with the goal of your pitch.

Use Impactful Closing Techniques

Depending on the presentation that you are giving, a strong ending is pretty much the cherry on top, and it determines whether your audience walks away with a good impression of your presentation. There are multiple closing techniques and choosing one mostly depends on the sort of presentation that you are giving.

Here’s a general guide based on the three most prominent styles of presentation — persuasive, informative, and introductory:

For persuasive presentations , where your main aim is to convince your audience to believe in the argument that you are making, offer a new perspective or angle for your audience to contemplate over. While your ending slide should definitely reiterate your overall points, offering a new perspective or angle would give your audience an opportunity to reflect, as well as provide an impression that you have looked at the issue at hand from a myriad of perspectives.

For informative presentations , it would be ideal to end your session with a Q&A session. Give your audience members a chance to clarify any questions they might have on the spot and at the same time, present a reliable image of yourself by being familiar with the content of your slides. If you’re thrown a question that you can’t answer, don’t panic! Thank the audience for his/her question and say that you will look into the matter before getting back to him/her. Be sure to do so, else you’ll lose your credibility. While you should know the topic like the back of your hand, there will be times where we’re offered a perspective or question that we’ve never considered, and that’s alright- just remember to remain calm and collected.

For introductory presentations such as business pitches, end off by including a call to action. Offer them a good reason to take action and be clear with what you’re trying to accomplish by bringing it forward in your last slide. Practice delivering your conclusion and engage the audience with eye-contact and emotions as you wrap up for a strong finish.

Choose the Right Visuals

Less is not always more, but when it comes to a PowerPoint presentation, less is definitely more . In order to convey a clear and memorable message, it is essential to ensure that your presentation relies on a simple visual system. Focus on simplicity so that your audience will not be distracted by visuals.

Think of their attention span as limited — use only a few colours and fonts that are pleasant to read to keep them there with you. Ensure that your brand or message remains consistent throughout and one way to do that is through understanding colour psychology.

Studies have shown that our brains are generally more inclined to prefer recognizable brands, which makes colour incredibly important when creating a brand identity. Bolder suggestions that highlight the importance of new brands using the loco palette colours that ensure differentiation from entrenched competitors have been made as well. Aside from simply standing out, surveys conducted have also shown that different genders are actually more receptive to certain colours. As such, you might want to consider doing a little bit of research yourself and recognizing which gender you would like to place greater emphasis on before choosing a colour scheme.

The general guideline is that men seem to prefer bold colours while women prefer softer colours. Also, men were more likely to select shades of colours as their favourites (colours with black added), whereas women were more receptive to tints of colours (colours with white added).

However, this differs from case to case and in different cultures as well. As such, the main takeaway is that colours play a greater role than you can ever imagine, so do not neglect its importance in the difference it can make in your presentation. Do a little more research on your own before you decide on your colour branding.

Organize Your Presentation

PowerPoint has multiple features that will allow you to reconsider the order of your slides and convey the essential information in the simplest way possible. Think of your presentation as an argument — it has to flow coherently so that your audience can follow through without feeling confused or overwhelmed.

The Slide Sorter View function is a great way for you to run through everything that you have on hand and decide the following things: whether there is any information you can afford to omit or have missed out, and how you can rearrange your information in a way that is smooth and easy to follow. Read through your slides again as if you were looking at them for the first time and read out the information as you would when presenting.

At the same time, pay attention to the details in your visuals and ensure that the alignment, colours, and fonts are consistent. The key is for the presentation to be informative but not overwhelming, and eye-catching but not to the point of it being distracting.

Logical Arrangement

To take it one step further, there is an art to how you should organize your material as well. Masterful presenters deliberately arrange their presentation in a specific order that motivates the audience to take action. Just like in an essay, your presentation should always be ordered in this format: problem, solution, and call-to-action.

Start with the problem by pointing out what your audience is currently facing without your product in the case of a sales pitch, then go on to present your product information as the solution.

You should be targeting their pain points; giving them reasons why they should hear you out and show them that you can make their lives better with your solution. In the last section, motivate them to take action by providing details on how they can do so, such as including the price of your product and a contact number they can reach to obtain any clarifications.

Lastly, to boost your overall credibility, it would be ideal to include good reviews that can serve as reliable testimonials and lock in your audience’s desire to do whatever it is you are encouraging.

Bonus: The Importance of Good Work Ethics

Creating your best PowerPoint presentation takes time and effort, and good work ethics serve as a guide in helping you achieve it. If you want a TLDR (too long; didn’t read) version of this article, read this section, as it serves as the foundation for what we’ve shared throughout. Think of it as three P’s: preparation, productivity, and priorities.

Preparation

We’ve seen clients attempt to rush out presentations last minute hoping to achieve miracles — some do, but many ultimately fall short of expectations. A compelling presentation doesn’t happen overnight; even we ourselves, after so many years of experience, cannot create one in such limited time.

This is why we emphasize the necessity of having good work ethics which helps to keep you grounded and focused on creating the best you can. Before you even begin developing your presentation, it is important to acknowledge that preparation is key to creating a compelling one.

Constantly remind yourself of this as you go along as if you try to ‘wing it’, you’ll find yourself producing lacklustre results that not only reflect badly on you but also on your organization.

Productivity

Regardless of why you’re creating this presentation, you’ll likely have other tasks on your plate. Managing your time is incredibly important, as it is easy to lose track of time and find yourself rushing through slides last minute. If you rarely do presentations or this is your first time, plan carefully the steps you’ll need to take. Decide how much time you can and should spend on each step, then start working on your presentation. Diving in without any planning in advance will cause you to waste time not really doing anything.

Understanding what your priorities are for the presentation helps in increasing your productivity. For example, think of the standard your presentation must achieve before you can share it. Your utmost priority is to ensure that your presentation reaches that standard minimally. Even if things go wrong, having a presentation that is good enough is better than having none.

Simplified’s AI Presentation tool is straight-forward to use and has some interesting features, including:

  • Video presentation – you can turn presentations into videos, allowing you to create easy presentation-style video content.
  • Creativity level – this feature allows you to tell Simplified what style of presentation you want, i.e. whether you want something splashy and creative or something simple and straight-forward.

Content - The text output generated by Simplified’s AI is dense text in paragraphs. On a traditional slide, you would expect bullet points and structured content, rather than full sentences in large blocks of text. It would be difficult for an audience to consume this much text during a presentation, but it could be used if the slides are shared for remote consumption.

Layout and design - Simplified’s slides have a somewhat professional feel with matching text and background colors, however, all slides come in the same text + image format. As mentioned previously, this format can be useful, but it would be rare for a professional presentation to only have one slide format.

Usability - You would need to cut down some of the text provided by Simplified’s AI in order to make the slides presentable, however starting with a good amount of context is helpful. Simplified’s biggest drawback is simply the fact that you are limited to presenting on Simplified’s platform or PDF format - there is no option to export as a PowerPoint presentation or Google Slide deck.

Canva magic design.

Canva is a design-first tool, and this is no different for their AI slide generator. As would be expected for Canva the slides are text-light and focus is on aesthetics – for example, you can choose between many themes before generating the slides, which is not a common option for generative AI slide deck tools.

The features of Canva’s AI slide generator are largely focused around AI-based suggestions to improve the presentation:

  • Auto-adjustments involve Canva automatically adjusting design elements to fit the chosen layout. These are the kinds of features to be expected from a design-first platform like Canva.
  • Suggestions – the AI will suggest colors, styles, fonts, images and layouts that best suit your presentation to make sure the final outcome looks as good as possible.

Content - Canva has always been a design-first tool, so text content does not appear to be emphasized by the AI slide generator. The output functions more as a template for users to add their own slides after. For example, this slide would be a great lead-in to a more detailed section about industry trends.

Layout and design - Canva is designed to look good, and generally the slides created by Magic Design look good. However, as mentioned above the slides really function more as section covers rather than standalone slides. There are also examples such as slides 2 and 9 where the design appears to be missing - likely due to a glitch on content generation.

Usability - One of the first things you will notice when you open Magic Design is that you are limited to 100 characters in the prompt. This doesn’t leave much room to write a helpful prompt for the AI and results in very content-light slides.

Canva does allow for PowerPoint exports and is a good presentation tool in its own right. So if you are simply looking to create nice-looking section covers Canva’s Magic Design tool can provide that, but it requires a lot of additional work to get the slides ready to present.

Best AI presentation software for brainstorming

Can you use ChatGPT to make a presentation ? Sort of! One of the best ways to use AI is to help brainstorm new ideas and generate outlines. While you can do this in a tool like Plus AI, it may be faster to do this with a tool like ChatGPT.

ChatGPT is the swiss army knife of AI tools, and you can ask it to generate a presentation outline with bullet points for you.

Content - The text generated by ChatGPT is quite good, and it can follow instructions to give you titles and bullet points, or expand on the text with longer sentences and paragraphs as well.

Layout and design - You can ask ChatGPT for ideas on slide layouts and formats, although because it is a chat-based model, it will not create actual presentation slides for you.
