You use secondary referencing when you want to refer to a source that is mentioned or quoted in the work you are reading. To do this, you add the phrase ‘quoted in’ or ‘cited in’ (depending on whether the author of the secondary source is directly quoting or summarising from the primary source) to your intext citation, along with the details of the source that you are reading.
West (2007, quoted in Birch, 2017, p. 17) state that… You would then include full references to Birch and The Open University in your reference list as these are the sources that you have read. There is no change to the structure of the full reference for these sources. |
You should include page numbers in your citation if you are quoting directly from or using ideas from a specific page or set of pages. Add the abbreviation p. (or pp. if more than one page) before the page number(s).

Are you feeling overwhelmed by referencing?
When you’re first asked to do referencing in an essay it can be hard to get your head around it. If it’s been a while since you were first taught how to reference, it can be intimidating to ask again how to do it!
I have so many students who consistently lose marks just because they didn’t get referencing right! They’re either embarrassed to ask for extra help or too lazy to learn how to solve the issues.
So, here’s a post that will help you solve the issues on your own.
Already think you’re good at referencing? No worries. This post goes through some surprising and advanced strategies for anyone to improve no matter what level you are at!
In this post I’m going to show you exactly how to reference in an essay. I’ll explain why we do it and I’ll show you 9 actionable tips on getting referencing right that I’m sure you will not have heard anywhere else!

What is a citation.
An in-text mention of your source. A citation is a short mention of the source you got the information from, usually in the middle or end of a sentence in the body of your paragraph. It is usually abbreviated so as not to distract the reader too much from your own writing. Here’s two examples of citations. The first is in APA format. The second is in MLA format:
In APA format, you’ve got the authors and year of publication listed. In MLA format, you’ve got the authors and page number listed. If you keep reading, I’ll give some more tips on formatting further down in this article.
And a Reference is:
A reference is the full details of a source that you list at the end of the article. For every citation (see above) there needs to be a corresponding reference at the end of the essay showing more details about that source. The idea is that the reader can see the source in-text (i.e. they can look at the citation) and if they want more information they can jump to the end of the page and find out exactly how to go about finding the source.
Here’s how you would go about referencing the Schlebusch and Jakobsson source in a list at the end of the essay. Again, I will show you how to do it in APA and MLA formats:
In strategy 1 below I’ll show you the easiest and fool proof way to write these references perfectly every time.
One last quick note: sometimes we say ‘reference’ when we mean ‘citation’. That’s pretty normal. Just roll with the punches. It’s usually pretty easy to pick up on what our teacher means regardless of whether they use the word ‘reference’ or ‘citation’.
Referencing in an essay is important. By the time you start doing 200-level courses, you probably won’t pass the course unless you reference appropriately. So, the biggest answer to ‘why reference?’ is simple: Because you Have To!
Okay let’s be serious though … here’s the four top ‘real’ reasons to reference:
You can’t just write an essay on what you think you know. This is a huge mistake of beginning students. Instead this is what you need to do:
Top Tip: Essays at university are supposed to show off that you’ve learned new information by reading the opinions of experts.
Every time you place a citation in your paragraph, you’re showing that the information you’re presenting in that paragraph was provided to you by an expert. In other words, it means you consulted an expert’s opinion to build your knowledge.
If you have citations throughout the essay with links to a variety of different expert opinions, you’ll show your marker that you did actually genuinely look at what the experts said with an open mind and considered their ideas.
This will help you to grow your grades.
Your teacher will most likely give you scholarly journal articles or book chapters to read for homework between classes. You might have even talked about those assigned readings in your seminars and tutorials.
Great! The assigned readings are very important to you.
You should definitely cite the assigned readings relevant to your essay topic in your evaluative essay (unless your teacher tells you not to). Why? I’ll explain below.
So, cite the assigned readings to show your teacher you read the scholarly articles your teacher gave to you. It’ll help you grow your marks.
Okay, so you understand that you need to use referencing to show you got experts’ opinions on the topic.
But there’s more to it than that. There’s actually a real benefit for your learning.
If you force yourself to cite two expert sources per paragraph, you’re actually forcing yourself to get two separate pieces of expert knowledge. This will deepen your knowledge!
So, don’t treat referencing like a vanity exercise to help you gain more marks. Actually view it as an opportunity to develop deeper understandings of the topic!
When you read expert sources, aim to pick up on some new gems of knowledge that you can discuss in your essays. Some things you should look out for when finding sources to reference:
So, the reason we ask you to reference is at the end of the day because it’s good for you: it helps you learn!
You might think you already know a ton of information about the topic and be ready to share your mountains of knowledge with your teacher. Great!
So, should you still reference?
Yes. Definitely.
You need to show that you’re not the only person with your opinion. You need to ‘stand on the shoulders of giants.’ Show what other sources have said about your points to prove that experts agree with you.
You should be saying: this is my opinion and it’s based on facts, expert opinions and deep, close scrutiny of all the arguments that exist out there .
If you make a claim that no one else has made, your teacher is going to be like “Have you even been reading the evidence on this topic?” The answer, if there are no citations is likely: No. You haven’t.
Even if you totally disagree with the experts, you still need to say what their opinions are! You’ll need to say: “This is the experts’ opinions. And this is why I disagree.”
So, yes, you need to reference to back up every claim. Try to reference twice in every paragraph to achieve this.
Let’s get going with our top strategies for how to reference in an essay! These are strategies that you probably haven’t heard elsewhere. They work for everyone – from beginner to advanced! Let’s get started:
Referencing is hard and very specific. You need to know where to place your italics, where the commas go and whether to use an initial for full name for an author.
There are so many details to get right.
And here’s the bad news: The automated referencing apps and websites nearly always get it wrong! They tell you they can generate the citation for you. The fact of the matter is: they can’t!
Here’s the best way to get referencing right: Download a referencing cheat sheet and have it by your side while writing your essay.
Your assignment outline should tell you what type of referencing you should use. Different styles include: APA Style, MLA Style, Chicago Style, Harvard Style, Vancouver Style … and many more!
You need to find out which style you need to use and download your cheat sheet. You can jump onto google to find a cheat sheet by typing in the google bar:
Download a pdf version of the referencing style cheat sheet, print it out, and place it on your pinboard or by your side when writing your essay.
There are good and bad sources to cite in an essay.
You should only cite sources written, critiqued and edited by experts. This shows that you have got the skill of finding information that is authoritative. You haven’t just used information that any old person popped up on their blog. You haven’t just gotten information from your local newspaper. Instead, you got information from the person who is an absolute expert on the topic.

Always. Use. Google. Scholar.
Ten years ago students only had their online university search database to find articles. Those university databases suck. They rarely find the best quality sources and there’s always a big mix of completely irrelevant sources mixed in there.
Google Scholar is better at finding the sources you want. That’s because it looks through the whole article abstract and analyses it to see if it’s relevant to your search keywords. By contrast, most university search databases rely only on the titles of articles.
Use the power of the best quality search engine in the world to find scholarly sources .
Note: Google and Google Scholar are different search engines.
To use Google Scholar, go to: https://scholar.google.com
Then, search on google scholar using keywords. I’m going to search keywords for an essay on the topic: “What are the traits of a good nurse?”
If you really like the idea of that first source, I recommend copying the title and trying your University online search database. Your university may give you free access.
Okay, so I’ve told you that you should cite both assigned readings and readings you find from Google Scholar.
Here’s the ideal mix of assigned sources and sources that you found yourself: 50/50.
Your teacher will want to see that you can use both assigned readings and do your own additional research to write a top essay . This shows you’ve got great research skills but also pay attention to what is provided in class.
I recommend that you start with the assigned readings and try to get as much information out of them, then find your own additional sources beyond that using Google Scholar.
So, if your essay has 10 citations, a good mix is 5 assigned readings and 5 readings you found by yourself.
As a general rule, the newer the source the better .
The best rule of thumb that most teachers follow is that you should aim to mostly cite sources from the past 10 years . I usually accept sources from the past 15 years when marking essays.
However, sometimes you have a really great source that’s 20, 30 or 40 years old. You should only cite these sources if they’re what we call ‘seminal texts’. A seminal text is one that was written by an absolute giant in your field and revolutionized the subject.
Here’s some examples of seminal authors whose old articles you would be able to cite despite the fact that they’re old:
Even if I cite seminal authors, I always aim for at least 80% of my sources to have been written in the past 10 years.
How much should you reference?
Here’s a good strategy: Provide two citations in every paragraph in the body of the essay.
It’s not compulsory to reference in the introduction and conclusion . However, in all the other paragraphs, aim for two citations.
Let’s go over the key strategies for achieving this:
This is a good rule of thumb for you when you’re not sure when and how often to reference. When you get more confident with your referencing, you can mix this up a little.
You can, of course, cite one source more than once throughout the essay. You might cite the same source in the second, fourth and fifth paragraphs. That’s okay.
But, you don’t want your whole essay to be based on a narrow range of sources. You want your marker to see that you have consulted multiple sources to get a wide range of information on the topic. Your marker wants to know that you’ve seen a range of different opinions when coming to your conclusions.
When you get to the end of your essay, check to see how many sources are listed in the end-text reference list. A good rule of thumb is 1 source listed in the reference list per 150 words. Here’s how that breaks down by essay size:
Here’s two things you can do to instantly improve your reference list. It takes less than 20 seconds and gives your reference list a strong professional finish:
a) Ensure the font size and style are the same
You will usually find that your whole reference list ends up being in different font sizes and styles. This is because you tend to copy and paste the titles and names in the citations from other sources. If you submit the reference list with font sizes and styles that are not the same as the rest of the essay, the piece looks really unprofessional.
So, quickly highlight the whole reference list and change its font to the same font size and style as the rest of your essay. The screencast at the end of Step 8 walks you through this if you need a hand!
b) List your sources in alphabetical order.
Nearly every referencing style insists that references be listed in alphabetical order. It’s a simple thing to do before submitting and makes the piece look far more professional.
If you’re using Microsoft Word, simply highlight your whole reference list and click the A>Z button in the toolbar. If you can’t see it, you need to be under the ‘home’ tab (circled below):
You’ve probably never heard of a hanging indent. It’s a style where the second line of the reference list is indented further from the left-hand side of the page than the first line. It’s a strategy that’s usually used in reference lists provided in professional publications.
If you use the hanging indent, your reference list will look far more professional.

The top students edit their essays three to five times spaced out over a week or more before submitting. One of those edits should be specifically for ensuring your reference list adheres to the referencing style that your teacher requires.
To do this, I recommend you get that cheat sheet printout that I mentioned in Step 1 and have it by your side while you read through the piece. Pay special attention to the use of commas, capital letters, brackets and page numbers for all citations. Also pay attention to the reference list: correct formatting of the reference list can be the difference between getting the top mark in the class and the fifth mark in the class. At the higher end of the marking range, things get competitive and formatting of the reference list counts.
Follow the rules of your referencing style guide (and that cheat sheet I recommended!) and use the top 9 tips above to improve your referencing and get top marks. Not only will your referencing look more professional, you’ll probably increase the quality of the content of your piece as well when you follow these tips!

In APA style, a references page (also known as a reference list page) is a separate page at the end of your paper that includes all of the sources that you've cited throughout your paper. Usually, it is a single page of references, alphabetized by author. It includes all of the essential information to guide the reader back to a specific source to find additional information.
For example, if you use information from a book written by a famous author, you must provide the author's full name, title of book, date of publication, and publisher. This way, the reader can quickly go directly to the source if he is interested in obtaining additional information.
Sometimes, you might hear students refer to a bibliography page. A bibliography page is similar to a references page—the exception, of course, is that APA style specifically refers to it as a references page. In fact, you use the word "References" at the top of the page before you begin listing your sources. Even if your paper has only one source, the word "References" at the top of the page remains plural.
No matter what type of paper you are writing— a thesis paper, dissertation, or term paper—you will find yourself extracting research and information from print and online sources to support your own viewpoints and arguments in your paper.

To avoid plagiarism and to give proper credit to the originator of the information, you must take responsibility to cite every piece of information that you use in your paper. APA style has specific requirements for formatting various types of sources. In this article, I will focus on formatting print sources, such as books, magazines, journals, and articles.
Any source that you cite in the main text of your paper is called an in-text citation. An in-text citation is a brief reference marker in parenthesis that includes only the last name of the author and year. The full and complete information of each in-text citation is listed on the references page. Thus, only when you use an in-text citation do you add the complete information to the references page.

Before we learn how to format different print sources, let me give you an example of an in-text citation and how it relates to the references page. This will give you a visual understanding of how APA style wants you to cite sources.
In-text citation in main text
Do you notice the in-text citation? If not, I pointed a big red arrow to it. :) Because this writer is paraphrasing unique information from three authors of a journal article, he must cite the authors as the source of the information.
APA style reference
The above image is a snapshot of the references page (at least the beginning of one since your paper will have many more references). Do you see how the in-text citation in the main text corresponds to the full source on a separate references page, and the reason why? To keep your paper coherent and readable, APA style avoids stuffing all of the bibliographic details for every citation in the main text of the paper. A separate page (i.e., the references page) at the end of the paper packages all of the details of every citation neatly and alphabetically on one or more pages.

I will now show you how to format print sources for your references page. At the end I will show you what a completed references page looks like. Lastly, I will tell you the mechanics, such as margins, typeface, spacing, and all the boring stuff. :)
Citing an article source.
To cite a source from an article published in a print journal, list the author’s last name, first name, publication year in parenthesis (month and year only), title of article (if applicable), title of source (in italics), and page numbers, such as:

It is common that you will also need to provide the volume number and issue number of the publication because readers will appreciate this extra information. Add the volume number ( italicized ) after the name of the publication (separated by a comma), followed by the page number(s). To add the issue number as well, enclose the issue number in parenthesis (in plain text) next to the volume number (without a space), as in this example:

When citing a book, you follow the same formatting as for articles, but you'll need to list the book title in italics and the location of the publisher, as well as the publisher’s name, in standard text. You do not need to list page numbers for a book citation, such as:

If the book has more than one author, simply add a comma with the "&" symbol and include the second author in the same format as the first author.

If you plan to use data from a printed graph or illustration in your paper, place the title of the graph in brackets after the publication date, such as:

Formatting a source from a magazine article is similar to formatting a citation for an article published in a journal. The one difference is that you can include the month, day and year of publication (if available), whereas a journal article only requires the month and year.
Citing a magazine source
When citing a source from a newspaper, you must add a “p.” to signify a single page number or a “pp.” to signify multiple page numbers when listing a newspaper article. If the entire article runs on separate pages, then use a comma to indicate discontinuous pages.

For multiple pages, use "pp."--this means pages in plural
You may choose to add a book review or product review as part of your sources list. If so, you just need to signify the fact that this source is a review of a book, meaning the actual book is not the source. List the fact that this is a review, along with the book or product that's being reviewed, inside square brackets, while also listing the publication in which the review appeared and the issue number of the publication (both in italics), followed by the page numbers. Also, be sure to start the paragraph with the name of the author of the review, rather than the author of the book, such as:
Citing a review--i.e., a book review, product review, movie review, etc.
It is simple to layout and format your references page in APA Style, 6th edition. Follow my advice:
1. Use Times New Roman typeface, size 12pt.
2. Margins: 1 inch margins, left--right--top--bottom.
3. Type References (in plain text ) at the top and center it. (Do not bold-face or italicize it)
4. Your entire paper is double-spaced. Thus, your first reference is two lines below References .
5. Alphabetize. Based on the first entry in the references paragraph, which usually is an author's name, always alphabetize all listings. Alphabetize by 1) Author’s Last Name, 2) First Initial, and 3) Year of Publication.
6. Author names. When listing the author names, start with the last name, followed by the first name, or first initial, and middle initial. If you have between two and seven authors, list all of them, separated by commas, with an ampersand before the last author's name. If there are more than seven authors, list the first six authors of the source, followed by ellipses, and then the last author listed on the source. If different authors have the same Last Name and First Initial, enclose their First Names in brackets, such as Jones, T. [Timothy] and Jones, T. [Tara].
7. Date. Place the publication date in parenthesis, including the month and day if possible, such as: (2012, Jan. 1). If no date is available, place “n.d.” in parenthesis.
8. Publication year. If you have two sources from the same author in the same publication year, you'll want to make sure to mark the two years separately, so they can be distinguished easily using the in-text citation. Use a lowercase letter to distinguish the publication years for separate sources, such as: (2012a), (2012b), (2012c), etc.
9. Use hanging indentions on the references page only. Position the first line of the paragraph against the left margin and then indent subsequent lines of that paragraph by 0.5 inches .

To find the reference example you need, first select a category (e.g., periodicals) and then choose the appropriate type of work (e.g., journal article ) and follow the relevant example.
When selecting a category, use the webpages and websites category only when a work does not fit better within another category. For example, a report from a government website would use the reports category, whereas a page on a government website that is not a report or other work would use the webpages and websites category.
Also note that print and electronic references are largely the same. For example, to cite both print books and ebooks, use the books and reference works category and then choose the appropriate type of work (i.e., book ) and follow the relevant example (e.g., whole authored book ).

What is an article.
Almost all writers and academics reference other people’s writing in their works. Referencing demonstrates that you have researched your topic, are well versed in its arguments and theories, and it also helps avoid charges of plagiarism.
The Harvard citation system is just one of many referencing styles – and which style you choose is normally guided by the institution or publication you are writing for.
In this article, you will learn how to use the Harvard citation system to reference the following types of articles:
Properly citing article details in the reference list will help the readers to locate your source material if they wish to read more about a particular area or topic.
If accessed online:
Academic or scholarly journals are periodical publications about a specific discipline. No matter what your field is, if you are writing an academic paper, you will inevitably have to cite a journal article in your research. Journal articles often have multiple authors, so make sure you know when to use et al. in Harvard style . The method for referencing a journal article in the reference list is as follows:
Reference list (print) structure:
Last name, F. (Year published) ‘Article title’, Journal name , Volume(Issue), Page(s).
Shepherd, V. (2020) ‘An exploration around peer support for secondary pupils in Scotland with experience of self-harm’, Educational Psychology in Practice, 36(3), pp. 297-312.
Note that the article title uses sentence case. However, the title of the journal uses title case. Additionally, the volume number comes immediately after the journal title followed by the issue number in round brackets.
If the original material you are referencing was accessed online, then the method for citing it in the reference list will be the same as that in print, but with an additional line at the end.

To write a professional reference letter, you should start with a header on a physical copy, introduce yourself professionally, and identify the applicant’s strengths with examples. Below is a more detailed list of how to write a professional reference letter:
A header (physical copy only). Just like with any professional letter, if you’re planning to type and print out the recommendation letter, you’ll want to put your name, title, address, email address, and phone number at the top of the page (if it isn’t already included in your letterhead).
A professional introduction . After your professional salutation, you’ll want to get right to the point and explain who you’re writing about and how long you’ve worked with the person you’re writing on behalf of. The reader should immediately understand your relationship with the applicant.
Identify the applicant’s strengths. Talk about specific skills and strengths they have, as well as how they used those for your organization. Make sure to mention that you enjoyed working with the person, and then clearly state that you are recommending them for the position.
Provide examples. The more details you can provide about the candidate’s specific on-the-job qualities, the better. Think of one or two stories where the applicant went above and beyond or leveraged one of their most valuable skills to great effect.
Closing lines. Near the end of your letter, reiterate that the applicant has your complete support and that you can recommend them with no reservations. Offer to answer any more questions if the recipient has them, and then sign off with your typed name and handwritten signature if you’re printing the letter.
Contact information (email copy only). If you’re sending your reference letter as an email, put your contact information after your sign-off and name. Include things like your phone number, alternate email addresses, and a LinkedIn page.

When writing a reference letter, be sure to include the hard and soft skills as well as examples of how they use those skills. Here are some more tips to keep in mind when writing your letter:
Include soft and hard skills in your recommendation. While it’s important to highlight the person’s ability to perform the tasks that come with their specific job, it’s also a good idea to communicate the personality traits and soft skills that make them great to work with.
Provide specific examples. While giving general compliments is helpful, try to provide one or two specific success stories in your letter. This will give more weight to your recommendation and helps employers truly see the qualifications of the applicant.
Highlight skills that match those listed in the job description. Just as it’s important to match a resume to a job description , it’s also a good idea to highlight some of the specific skills that an employer is looking for in a recommendation letter.
Ask for their resume. Whether you currently work with the person you’re writing a recommendation for or not, it can be difficult to come up with specific examples of their accomplishments on the fly.
Try to provide a neutral or positive review, but don’t lie. If you’re asked to provide a review and don’t feel like you have enough positive things to say about the person, it’s more beneficial to both you and the recipient to politely decline writing the letter.
Send it as a PDF if you aren’t sending the letter directly to the employer. Sometimes an employee may ask for a generic letter of recommendation to have on hand to submit with multiple job applications.
If they write their own recommendation, make sure you read it and agree with it before you sign your name. Sometimes employees will write their own recommendation letter for you to adjust as you want and sign your name to.
Be timely. It’s important to make sure you turn in the letter on time, as the person’s job application might rely on it. Ask for a deadline if you aren’t given one, and then make sure you’ll be able to meet it. If you can’t, give them as much notice as possible so that they have a chance to find someone else to write it for them.
Follow submission instructions. Make sure you follow any formatting and submission requirements as closely as possible. If they aren’t given to you, ask. It will reflect poorly on the person you’re recommending if you don’t follow the instructions they were given.
Proofread thoroughly. Make sure you check and recheck your letter before you submit it. Not only is being grammatically correct a reflection on you as an individual, but also on your reliability as a recommender.
What is a professional reference letter?
A professional reference letter is a document that a job candidate can use to support the claims made in other job application materials, like their resume and cover letter. These types of reference letters are different than personal or character references .
You can only write a professional reference letter for someone who you’ve worked with closely in a professional setting. Before you even begin planning what you’re going to put in a reference letter, take a minute to remind yourself who your audience is and why you’re writing it. This letter isn’t a heartfelt note for a birthday card or a biography of the person.
It’s a one-page, professional document intended to fill in the gaps for the person’s potential employer. You are their ticket to truly understanding what it’s like to work with the individual you’re recommending.
Who can write a professional reference letter?
Before you agree to write a professional reference letter for someone, take some time to consider whether you can provide a compelling and personalized account of your relationship and experiences with the applicant. You should only write a professional reference letter for someone if one or more of the following situations applies:
You’ve worked closely alongside or supervised the applicant, or the applicant supervised you
You have plenty of experience (and therefore examples) of the applicant’s work style and impact on results
You’re aware of the applicant’s relevant strengths and qualifications that they hope to highlight
You can speak positively about the applicant without lying
At the end of the day, if you can’t provide a reference letter that helps the candidate land the job, it’s in everyone’s best interest to decline the applicant’s request. Just be sure to tell this individual right away once you decide that you can or cannot write the letter, because drafting a list of professional references is sometimes a time-sensitive matter.
How many references will most employers look for?
You should provide at least three references for your potential employer. When selecting your references make sure you talk to the ahead of time and that they are okay with providing a reference.
Your references should be someone who can confirm your work performance so it’s important to keep them up to date.
How long should a reference letter be?
A reference letter should be about one page. It should consist of an opening, body, and closing paragraph. Your opening should explain who you are and your relationship with the person. Your body will identify their strengths while providing examples. Your closing paragraph should reiterate your complete support and that you can recommend them with no reservations.

To cite a book chapter , first give the author and title (in quotation marks) of the chapter cited, then information about the book as a whole and the page range of the specific chapter.

Chicago notes and bibliography style uses footnotes to cite sources instead of parenthetical citations. These notes refer to a bibliography at the end giving full source details.
